Operational Support Assistant

Title: Operations Support Assistant 

Position Type: Part Time, Non-Exempt 

Position Summary 

The Operations Support Assistant is an entry-level, part-time role that supports the office, shop, and leadership team with a variety of projects. Working under direct supervision, this team member helps keep records, inventory, and information organized and easy to find. Assignments change over time as projects are completed and new needs come up. This role is a strong fit for a motivated student who is eager to learn how the business runs behind the scenes. 

Key Responsibilities 

• Organize, update, and maintain company documentation, manuals, templates, and compliance filings. 

• Assist with inventory, parts, and asset records, including photos, data entry, physical counts, and part drawings. 

• Help with scheduling, calendar management, and follow-up on missing vendor and financial documents. 

• Support the production of the Fruits of the Foundry podcast, including, but not limited to: recording, editing, and preparing episodes. 

• Help prepare for company events and trainings, and write SOPs for repeatable projects. 

• Perform additional duties as assigned 

Qualifications 

Required: 

• Education: Currently enrolled in high school (or equivalent) and in good standing; minimum age 16. 

• Basic computer skills, including email, file folders, and entering data into spreadsheets; comfortable using a smartphone or camera to take clear photos; able to follow written and verbal instructions. 

Nice to Have: 

• School projects, clubs, or part-time work involving organization or customer service; exposure to Microsoft Excel, Outlook, or Google Workspace; any experience with video recording or editing software

• Problem Solving & Adaptability: Figures out where to find information, tries reasonable solutions, and adjusts when priorities change. 

• Organization & Work Management: Keeps files, photos, and spreadsheets neat and consistent; tracks deadlines and follow-ups; pays close attention to detail. 

• Technical & Operational Proficiency: Learns company systems quickly, including the parts database, documentation system, Excel, Outlook calendar, and podcast recording and editing tools. 

• Leadership & Professional Development: Takes ownership of assigned work, is open to feedback, and leaves behind SOPs that help the next person succeed. 

Schedule & Compensation Expectations 

This is a part-time, non-exempt (hourly) position built around the employee's school schedule. The typical schedule for this role will be Monday, Tuesday, and Thursday from 8:00 AM – 12:00 PM. Hours may increase during school breaks and holiday event preparation, such as the Christmas party and training week. Any hours outside of the typical schedule must be pre-approved.  

Work Environment 

This position is performed primarily in an office environment with routine use of computers, phones, printers, cameras, and podcast recording equipment. The role involves extended periods of sitting, computer work, data entry, and communication with employees and vendors. 

Some work takes place in the company shop, such as photographing parts, counting inventory, and reviewing tools and fixed assets. Shop work is always performed under supervision. The shop may involve noise, dust, and nearby equipment, and shop safety rules and PPE (such as safety glasses, closed-toe or steel-toe boots, and hearing protection) must be followed at all times.
