Job Description - Operations Coordinator

Position Summary:
We are seeking a dependable and organized Operations Coordinator to support both office administration and field operations within our commercial janitorial services team. This role will assist with coordinating schedules, supporting field staff, maintaining records, and occasionally visiting job sites to assist with operational needs. The ideal candidate is highly organized, flexible, and comfortable working in both an office environment and on-site at client locations.


Key Responsibilities:


  • Provide administrative support to the operations and management team.


  • Coordinate and schedule cleaning crews, site visits, inspections, and service requests.


  • Maintain accurate records of employee schedules, timekeeping, and job assignments.


  • Assist with onboarding paperwork, employee files, and HR administrative tasks.


  • Communicate with clients regarding service schedules, requests, and follow-ups.


  • Prepare reports, spreadsheets, and operational documentation.


  • Track and order cleaning supplies, equipment, and inventory as needed.


  • Support payroll preparation by collecting and verifying employee time records.


  • Maintain organized filing systems and ensure documentation is up to date.


  • Assist with dispatching field employees to client sites when coverage is needed.


Field Support Responsibilities:


  • Conduct occasional site visits to commercial properties to support supervisors and staff.


  • Deliver supplies, equipment, or documentation to job sites when necessary.


  • Assist with quality inspections and ensure cleaning standards are being met.


  • Support new employee onboarding in the field, including site walkthroughs and basic orientation.


  • Help address client concerns or service issues by coordinating with the operations team.


Qualifications:


  • High school diploma or equivalent required; associate degree preferred.


  • 2+ years of administrative or operations support experience.


  • Strong organizational, multitasking, and time management skills.


  • Excellent communication and customer service skills.


  • Proficiency in Microsoft Office (Word, Excel, Outlook).


  • Ability to work both independently and as part of a team.


  • Valid driver’s license and reliable transportation required for site visits.


Preferred Skills:


  • Experience in commercial cleaning, facilities management, or service-based industries.


  • Bilingual (English/Spanish) preferred.


  • Experience with scheduling software, HRIS, or workforce management systems.


Work Environment:


  • Combination of office work and occasional field work at client locations.


  • May require travel between multiple job sites within the service area.


Physical Requirements:


  • Ability to sit and work on a computer for extended periods.


  • Ability to walk job sites and occasionally lift supplies up to 25 lbs.
