🙌 About the Role


The WOW Center is seeking a highly organized and proactive Operations Coordinator to support the daily operational, administrative, and facility needs of our multi-departmental nonprofit organization. This role plays a key part in ensuring smooth day-to-day operations across programs, finance, IT, and campus facilities, while driving process improvements that strengthen organizational efficiency and mission impact. 





📝 Desired Qualifications



  • Education: Bachelor’s degree in Business Administration, Operations Management, Facilities Management, or related field preferred. Equivalent work experience may be considered in lieu of a degree. 



  • Minimum 25 years of experience in operations, facilities management, or administrative support, preferably in a nonprofit, school, or multi-departmental setting. 



  • Experience handling basic financial processes such as invoicing and expense tracking. 



  • Familiarity with IT support processes and office equipment coordination. 



  • Proficient in Microsoft Office Suite (Excel, Outlook, Word), Google Workspace, and project/task management tools. 



  • Comfortable learning and managing new software tools as needed. 



  • Strong organizational and time-management skills, with the ability to manage multiple tasks and meet deadlines. 



  • Excellent communication and interpersonal skills; comfortable interacting with vendors, team members, and leadership. 



  • Detail-oriented with a proactive, problem-solving mindset. 



  • Ability to work independently, take initiative, and adapt in a fast-paced environment. 



  • Committed to upholding a high standard of professionalism, reliability, and accountability. 



🌱 What You'll Do


📘 Operational Management & Process Improvement 



  • Coordinate and assist with the daily operational activities of The WOW Center. 



  • Implement WOW daily operations effectively and in a timely manner. 



  • Execute improvements to operational systems, processes, and policies to better support the organization’s mission. 



  • Support the Manager, Operations in improving the effectiveness and efficiency of cross functional processes (HR, marketing, fundraising, and finance) by enhancing each function and ensuring coordination between operations and these teams. 



✅ Program Support 



  • Assist with the Food Program, including contracts and compliance with ACFP guidelines. 



  • Maintain Transportation Log updates and ensure accuracy in attendance, early pick-up, and late arrival logs. 



  • Support the training of new CBE staff and ensure program audits and records are maintained and updated as . 



  • Ensure WOW maintains remains compliant with FDOT regulations and yearly reporting. 




  Billing & Administrative Support 



  • Assist with bill coordination, including logging checks and processing payments. 



  • Review and process credit card transactions via Divvy, ensuring receipts are submitted and transaction details are properly proivded   



  • Coordinate with the Accounting team for one-time invoices or reimbursements processed through QuickBooks. 



  • Issue invoices to sponsors and track incoming payments. 



  • Collaborate with advancement team on pledges payments and new donations  



  • Create and manage payment links for expenses such as meals, UberEats, parking reimbursements, and event-related costs. 



  • Use platforms like Venmo, CashApp, and PayPal to receive payments for merchandise and donations. 



  • Track and manage high-volume payment activity (e.g., 100+ individual transactions). 


 


   IT & Equipment 



  • Assist with the setup, maintenance, and troubleshooting of IT equipment across the organization. 



  • Coordinate with vendors and service providers for hardware, software, and tech support needs. 



  • Manage inventory of technology and office equipment. 



  • Support onboarding and offboarding procedures related to equipment and tech access. 



  • Ensure shared equipment (e.g., printers, projectors, internet hardware) is functioning properly and serviced as needed. 



  • Partner with the Manager, Operations on IT planning and implementation to ensure smooth day-to-day operations. 





🏢 Grounds & Facilities 



  • Assist with campus maintenance, coordinating with vendors for repairs and service needs (e.g., plumbing, electrical, HVAC, landscaping, pest control, waste management). 



  • Conduct routine walkthroughs to identify safety hazards, maintenance needs, and general upkeep issues across all buildings and outdoor areas. 



  • Ensure cleanliness, orderliness, and proper functioning of all shared spaces, including classrooms, restrooms, kitchens, offices, and outdoor areas. 



  • Oversee supply levels and coordinate with custodial and maintenance staff or vendors to ensure needed materials and equipment are on hand. 



  • Assist with planning and execution of space utilization projects, repairs, and minor renovations. 



  • Respond promptly to emergency maintenance needs and follow up on resolution to ensure continuity of operations. 



  • Support event setup and breakdown logistics, ensuring the availability of equipment, seating, and facility readiness.

  • Cross-Functional Coordination: Maintain effective communication with other departments and stakeholders to ensure program success and alignment with broader organizational goals. Foster a collaborative environment between the education team, social services, workforce, advancement, and all other departments.
