Job Description - Operations Coordinator

About the Role

We are seeking a highly organized, detail-oriented Operations Coordinator to join our US Operations team. This role will own the day-to-day management of outbound orders across our third-party logistics (3PL) network, ensuring orders are processed accurately, shipments stay on schedule, and operational issues are identified and resolved.

The ideal candidate is a strong problem solver who takes ownership, notices discrepancies, and can effectively manage multiple priorities without losing track of details.

Key Responsibilities

Outbound Order & 3PL Management

Own day-to-day outbound order management from order release through shipment.

Communicate with 3PL facilities regarding order status, inventory, shipping issues, and exceptions.

Monitor open orders and proactively identify shipments at risk of missing required ship dates.

Investigate order and inventory discrepancies and drive issues through resolution.

Track delayed or held shipments and coordinate corrective action.

Serve as the primary day-to-day operational contact for assigned 3PL facilities.

Maintain and report on key 3PL performance metrics and identify recurring issues.

Escalate significant or recurring issues to Operations leadership.

Invoice & Inventory Support

Review 3PL, freight, and parcel invoices for accuracy.

Investigate billing discrepancies and work with vendors to resolve them.

Track inbound shipments and inventory receipts.

Investigate inbound and inventory discrepancies with warehouse partners.

Maintain accurate records of open issues, shipments, and operational activity.

Cross-Functional Support

Work closely with Sales Operations, Finance, and the UK Operations team.

Support freight quoting, shipment analysis, reporting, and process improvement initiatives.

Identify opportunities to improve operational efficiency and reduce errors.

Qualifications

Required:

1.5+ years of experience in operations, logistics, supply chain, order management, or a related field.

Strong proficiency with Microsoft Office, particularly Excel, Outlook, and Teams.

Moderate Excel knowledge, including formulas, sorting/filtering, data organization, and basic analysis.

Strong attention to detail, critical-thinking, and organizational skills.

Excellent communication and problem-solving abilities.

Ability to manage multiple priorities and follow issues through to resolution.

Demonstrated ability to work independently and take ownership.

Preferred:

Experience with an ERP system.

Experience with WMS, TMS, or 3PL portals.

Experience working directly with 3PLs or warehouses.

Experience with order fulfillment, freight/parcel operations, or logistics invoice reconciliation.

Experience with operational or supply chain KPI reporting.

B2B distribution experience.

What Success Looks Like

The successful candidate will become the primary owner of day-to-day outbound order execution across our 3PL network.

You will know you're succeeding when:

Orders are released accurately and monitored through shipment.

Potential delays and discrepancies are identified proactively.

Routine 3PL and order issues are resolved without management intervention.

Invoice discrepancies are identified and resolved efficiently.

3PL KPI reporting is accurate and timely.

Open issues are consistently tracked through resolution.

We're looking for someone who doesn't just notice that something is wrong; they figure out why, determine what needs to happen, and make sure it gets done.

Work Environment

This is a hybrid position based in Westwood, Massachusetts, with regular on-site work and the ability to work remotely as appropriate. The role will work closely with US Operations, Sales Operations, Finance, and our UK-based team.
