About the Department
Job Summary
Responsibilities
Provide administrative and operational support for research, and educational missions and related projects.
Liaise with appropriate BSD and Departmental staff to help coordinate fiscal and budgetary affairs and triage personnel issues related to staff.
Ensure compliance of office staff with relevant offices, University and other policies and guidelines.
Support programmatic and support staff.
Work closely with EA, Service Delivery Units and BSD Center teams to help execute ideal recruitment, onboarding, and hiring practices for new faculty and staff.
In partnership with the EA and People Services Delivery Unit, monitor and assist in the academic appointment process and onboarding for new faculty and staff and assist in transitions and other section, staff and faculty needs.
Assist Faculty Chair and Executive Administrator with operational and administrative needs as requested.
Assist in facilitation of department meetings and invited speaker workshops: schedule meetings, collect reports, create agendas, send reminders and provide logistical support.
Provide support for data collection to support the budget processes, effort reporting and tracking, and research operations.
Examine and apply information thoughtfully to help solve problems and improve and optimize processes.
Manage overall administrative team functions and proactively identify and execute opportunities for clarification and improvement of processes and projects.
Respond to all facility problems such as furniture ordering and repairs, telecommunication requests, plant department requests, environmental issues, and all emergencies such as power outages, floods etc.
Coordinate construction projects, implement space assignments, assist with space planning , key management, respond to space needs.
Work closely with Executive Administrator to manage department’s Physical Equipment inventory.
Manage day-to-day facility issues and monitor overall environment.
Responsible for training office staff on office procedures and compliance protocols. Coordinates special projects.
Researches and analyzes data to create reports, and may create other reports for grants and contracts.
Performs other related work as needed.

5 years of work experience in a related job discipline.
Demonstrated experience managing multiple projects, competing deadlines, and budgets.
Experience in handling coordination of large initiatives, including logistics and adhering to timelines.
