Agenda for Children's mission is to make Louisiana a state in which all children can thrive. Founded in 1984 as the state's first independent child advocacy organization, Agenda has also served as the largest state provider of childcare resource and referral services in southeast Louisiana since 1989. POSITION OVERVIEW
The Operations Manager will work closely with the Chief Financial Officer to manage the organization's day-to-day operations, with the goal of making Agenda a more effective and efficient organization. They will also develop and maintain clear leadership/management structures, decision-making processes, and staff supports and protocols across the organization. In collaboration with the executive team and others, they will help build staff and systems capacity to meet current program demands and accommodate programmatic growth. The Operations Manager will oversee the organization's infrastructure requirements, including appropriate information technology and work environments

DUTIES AND RESPONSIBILITIES
The primary responsibilities for this position will include, but not be limited to the following:

Operations Management
Develop, implement, monitor, and enforce company policies and procedures related to operations and use of the company's office, equipment, and resources;
Manage inventory of supplies and equipment, ensuring staff has materials needed at all times and equipment is well maintained and functional;
Proactively research and recommend improvements to increase operational efficiency and effectiveness and partner with senior leadership to plan for and implement changes;
Liaise, manage contracts/agreements, and build relationships with all operations-related vendors and providers (e.g., landlord, custodial services, Amazon Business), negotiating terms and troubleshooting, as needed;
Communicate all operating policies and/or issues at department, and staff meetings;
Process, purchase requisitions, purchase materials, and plan inventory;
Review and approve invoices from office/inventory vendors and suppliers and ensure they are submitted for payment; and
Collaborate with CFO and HR Director to ensure compliance with all operations-related laws and regulations.

Facilities Management
Serve as the primary point of contact for the physical office spaces with employees, vendors, and partners;
Maintain day-to-day operations of facilities, including:

Delegate or complete maintenance orders
Monitor the safety and cleanliness of interior and exterior areas, such as offices, conference rooms, parking area, etc.
Plan and coordinate all installations (telecommunications, heat, electricity etc.) and improvements /refurbishments
Manage the upkeep of equipment and supplies to meet health and safety standards
Schedule routine inspections and emergency repairs with outside vendors
Control contract activities such as office cleaning, waste disposal, building security etc.
Ensure proper security measures for the workplace, including collaborating with security system vendors or a team of security professionals
Maintain maintenance/service schedules

Assess and allocate office space, equipment, and resources according to needs;
Manage and monitor office supplies and inventory;
Facilitate/organize moving items to and from storage space;
Manage insurance plans and service contracts;
Update and implement emergency preparedness procedures;
Prepare facilities for changing weather conditions;
Collaborate with the building owner/contact and CFO on budgeting for facilities needs; and
Ensure physical spaces are functional, well-maintained, and welcoming.
Information Technology
Coordinates with the IT firm to resolve technology issues; and
Stays abreast of technology concerns, including the need for new or additional equipment, applications or infrastructure services, and then translates those concerns accordingly based on expected effects or impacts to business functions.
Additional Projects and Responsibilities
Timely, clear, and accurate communications with staff, individual teams, and external stakeholders regarding all operations-related polices, procedures, and emergency/safety situations;
Work closely with CFO and HR Director on other special planning and departmental projects;
Update job knowledge by participating in educational opportunities, reading professional publications, maintaining personal networks, participating in professional organizations;
Events management, especially regarding all staff meetings/retreats and Board and partner events;
Promote and protect the organization's reputation as a responsible and effective social service agency and to ensure the efficacy of its programs;
Ability to track, update, and adhere to budgets;
Basic working knowledge of human resources; and
Other duties as assigned.
QUALIFICATIONS AND EDUCATION
Bachelor's degree required; candidates who do not have a degree that have superior direct work experience (10+ years of direct operations experience) will be considered;
Strong history of negotiating and managing contracts with vendors, external parties, partners, etc.;
A solid understanding of budgeting and budget management;
Record of building a strong team environment through mutually trusting relationships;
Strong interpersonal and professional communication skills;
Highly proficient in Excel, Word, PowerPoint, and other Microsoft Office products;
Stable employment history with a high degree of integrity, responsibility, and trust.

COMPENSATION AND BENEFITS
Salary starts at $60,000 with final offer depending on experience and qualifications. Agenda staff members are eligible for organization benefits, including a minimum of ten vacation days, which are accrued on a semi-monthly pay period. Additional benefits include retirement, health, dental, vision, flexible spending account, ten days sick leave, short-term disability, life insurance, and a minimum of 22 additional days observed as organizational holidays.
