Job Description:

Overview: As an Administrative Assistant at Palmer Bus Service, you will be responsible for supporting the daily administrative and operational functions within the office. You’ll play a crucial role in ensuring smooth communication, coordination, and efficient workflow across various departments. 

Responsibilities:

  1. Administrative Support: Provide general administrative support such as managing phone calls, emails, scheduling appointments, and handling correspondence. 
  2. Logistics Coordination: Assist in coordinating transportation logistics, including scheduling deliveries, managing driver schedules, and ensuring timely dispatch of vehicles. 
  3. Office Operations: Oversee office supplies, equipment maintenance, and facility management to ensure a conducive work environment. 
  4. Documentation and Records Management: Maintain accurate records and databases related to transportation operations, invoices, client information, and other relevant documentation. 
  5. Communication Liaison: Act as a point of contact between different departments, clients, and external stakeholders, facilitating effective communication and information flow.  
  6. Compliance and Regulations: Ensure adherence to company policies, industry regulations, and safety standards related to transportation operations.

Additional Duties:

  1. Expense Tracking and Budget Management:  Assist with expense tracking and budget management.
  2. Event Planning and Coordination:  Assist staff with event planning and logistics.
  3. Research: Conducting industry-specific research and providing reports/information.

 

Conditions of Employment:

  • Satisfactory completion of pre-employment assessment, background examination, and drug testing.
  • Must meet expectations of the work functions and knowledge, skills, and abilities for the position.
  • Must comply with organizational and departmental policies.

Requirements

 

Requirements: 

  • Proven experience (1-2 years minimum) as an office coordinator, administrative assistant, or similar role, preferably within the transportation or logistics sector.
    • References from previous employers will be requested and contacted to verify experience. 
  • Proficiency in office software and tools (Microsoft Office Suite, G Suite, etc.). 
  • Excellent organizational and multitasking abilities with strong attention to detail. 
  • Effective communication skills, both written and verbal. 
  • Ability to work collaboratively within a team.
  • Ability to work independently when necessary.
  • Self driven and desires to take ownership of duties and responsibilities to see them through to completion.
  • Familiarity with transportation logistics and operations is a plus.
