The Operations Specialist is an office-based position responsible for providing administrative, reporting, and operational support to the Construction and Maintenance teams. This role serves as a key resource for maintaining accurate records, coordinating business processes, preparing reports, and assisting with departmental activities. The successful candidate will be detail-oriented, highly organized, and able to manage multiple priorities while supporting the efficient execution of business operations.
Requirements
Provide administrative and operational support to the Construction and Maintenance management and staff.
Assist with month-end close activities, including data collection, validation, and reporting related to oil and gas operations.
Support accounts payable processes, including invoice review, coding, tracking, and documentation.
Prepare and submit regulatory reports and maintain supporting records in accordance with company and regulatory requirements.
Generate, maintain, and distribute daily, weekly, and monthly operational reports using various company systems and databases.
Coordinate and participate in monthly accrual meetings, compiling and organizing supporting information as needed.
Maintain accurate operational records, databases, and departmental documentation.
Assist field personnel with administrative processes, paperwork submissions, recordkeeping, and office-related support.
Enter, track, and reconcile work order information and operational data within company systems.
Respond to internal requests for information and provide general administrative assistance to department personnel.
Support special projects and process improvement initiatives as assigned.
Perform other duties as assigned for which the employee is qualified and trained.
Qualifications
3 to 5 years of experience in an administrative, operations support, or business support role within the oil and gas industry preferred.
Proficiency in Microsoft Office Suite, with advanced skills in Excel and working knowledge of Word and Spotfire.
Experience working with business applications and databases, including WellEZ, OpenInvoice/Ticket, or similar systems.
Familiarity with work order processing, data entry, tracking, and reporting systems.
Strong organizational, analytical, and problem-solving skills.
Excellent written and verbal communication skills.
Demonstrated ability to manage multiple priorities and meet deadlines.
High level of accuracy, attention to detail, and commitment to maintaining confidential information.
Strong customer service mindset with the ability to collaborate effectively across departments.
Physical Demands and Exposures
Primarily an office-based position requiring extended periods of sitting and computer use.
Frequent use of standard office equipment, including computers, telephones, and printers.
Occasional standing, walking, bending, or lifting of office supplies and files up to 20 pounds.
Limited travel or visits to operational facilities may be required on an infrequent basis.
Work is primarily performed in an office environment.
