Operations Support North America Communications 

 

YOUR TASKS AND RESPONSIBILITIES

 

The primary responsibilities of this role, Operations Support North America Communications are to: 

 

Under limited supervision and acting on own initiative, performs various administrative and project duties for Executive-level leaders. Assignments generally involve work of a confidential nature and require a thorough knowledge of the practices and procedures of the function, company products, policies and programs. This role supports the North America Communications organization, with a focus on VP Integrated Strategic Comms and VP Crop Science Communications in administrative tasks including travel, expense reporting, and calendar management.

 

  • Supports the coordination and execution of communications activities as directed, including site-based or local St. Louis area events, e.g., team meetings, off-site conferences and events;
  • Manages corporate and division email mailboxes and distributions, including monitoring mailboxes, distributing emails through distribution tool, distribution list coordination;
  • Works closely with NA Operations Coordinator and other leaders to coordinate and track the overall financial support needs of the team including budgets, billing and invoicing;
  • Creates purchase orders, support the administrative on- and off[1]boarding process, maintain and update access to NA Communications Teams channels, distribution and security lists (PRIMA), and support the broader NA Communications team with administrative tasks on an exception basis;
  • Assembles and analyzes information; prepares reports, manuals, agendas, correspondence;
  • Establishes and maintains departmental databases (Teams/distribution lists) and develops materials of importance to department;
  • Assists in meeting planning and preparation work needed, such as drafting agendas and broader communications, coordinating travel, etc;Coordinates details of departmental meetings and/or on- and off[1]site conferences and events;
  • Maintains best practices for Comms department;
  • Actively engages with the administration and operations community to leverage best practices and enable efficiencies in the team;
  • Manages business travel arrangements;
  • Screens/redirect calls, takes messages, handles mail;
  • Coordinates activities across departments and follows up to ensure Key Tasks: that requests are carried out;
  • Processes statements-of-work, Pos and payment of invoices;
  • Experience in tracking budgets for department, working in SAP;
  • Performing additional duties as required.

 

WHO YOU ARE

 

Bayer seeks an incumbent who possesses the following:

 

Required Qualifications:

 

  • Experienced in SAP - Ariba, Concur; Fieldglass;
  • Highly proficient in Microsoft Excel, Powerpoint, Word, Sharepoint, Teams;
  • Willingness to learn new tools, including email distribution tool;
  • Strong interpersonal skills;
  • Ability to travel as needed (less than 5% of working days);
  • Ability to manage multiple competing priorities in a fast-paced environment, working flexibly and shows grace;
  • Ability to maintain complete confidentiality on initiatives;
  • Highly organized and efficient;
  • Self-directed, takes initiative and follows through. Reliable;
  • Able to work with employees at all levels of the organization;
  • Maintains a can-do attitude and acts like an owner;
  • Ability to anticipate projects, conflicts and solve those

 

Preferred Qualifications:

 

  • Post High school education and/or 10+ years of relevant experience as a strong executive and/or operations support.
