In this role, this individual will serve as the primary back-up for various Operations Support tasks assisting the Client Services, Support Services and Mail Processes teams. This position will report to the Senior Mail Processes Manager with a dotted line to the Senior Client Services Manager. 

Requirements

 

Primary Responsibilities:

Perform various Operation Support tasks as needed and directed by management, in accordance to Company and client procedures.

  • Process document requests to include; work queues, account updates, spreadsheet tracking, letter generation, document preparation, and quality assurance
  • Process incoming mail to include; client identification, determining criticality of document, prepping, balance control process, quality assurance, scanning and retention
  • Prepare and scan documents received from clients, including quality assurance review
  • Index incoming mail to the correct account; documenting, summarizing and determining next steps
  • Assist with in-house letters tasks, including, but not limited to printing, quality assurance review, signing, faxing, enveloping and mailing
  • Process outgoing mail including quality assurance review and enveloping
  • Backup to the Receptionist
  • Understand and adhere to Company information, security and privacy responsibilities as detailed in the Information Resource Usage Policy, Employee Manual, and client-specific publications.
  • All other tasks as assigned.

Skills/Experience:

  • 1 – 2 years of office experience, preferable in support role
  • Attention to detail
  • Flexibility and adaptability
  • Organizational and task management skills
  • Ability to multi-task with changing priorities

Education:

  • High School or GED equivalent
  • Associate Degree preferred or equivalent experience required
