SUMMARY

Carel USA is looking for an energetic candidate with computer skills to join us as an Order Entry Specialist I. The Order Entry team currently processes and acknowledges orders for material or merchandise received by email, telephone, or personally from customer or company employee. The Order Entry team also provides support to customers with regard to order status, availability of products, lead times, and logistic aspects. The ideal candidate will be personable enough to continue to build and maintain professional relationships with our valued customers and our sales team.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned. Responsibilities and activities may change at any time with or without notice.

  • Navigates Oracle to input and retrieve data, including order entry and invoicing.
  • Records and files copy of orders received according to Customer PO# in Accounts Folder.
  • Performs order/contract review independently or with the sales department where needed; based on this review, edits orders received for price, nomenclature, and delivery date.
  • Reviews orders for accuracy to minimize order errors.
  • Responds timely and efficiently to phone calls and emails.
  • Acknowledges customer's order for confirmation of unit prices, shipping date, anticipated delays, independently or with Logistics and Manufacturing Managers, and any additional information that may be needed by customer.
  • Computes price, discount, and shipping charges.
  • Works collaboratively with various departments to expedite orders or trace missing or delayed outgoing shipments.
  • Provides support to customers with regard to order status, availability of products, lead times, and invoices.
  • Recognizes the need for field sales rep intervention and conveys customer information to appropriate Regional Sales Managers.
  • Attend in-person and virtual meetings as necessary
  • Takes initiative to develop skills by staying current on industry trends, product knowledge, and new company developments.

QUALIFICATIONS

To perform this job successfully, an individual must be able to perform each ESSENTIAL DUTY satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.

  • Education- High school diploma; or three to six months related experience and/or training; or equivalent combination of education and experience. Technical school or college degree preferred.
  • Language and Communication Skills- Ability to read and interpret documents such as invoices, customer emails, and internal documentation. Ability to enter and process orders. Ability to operate computer systems such as email and phone with preference given to Google platform experience. Excellent communication skills in contacting internal and external customers and vendors via e-mail, on the phone or via other means.
  • Mathematical Skills - Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret charts.

SUPERVISORY RESPONSIBILITIES: This job has no supervisory responsibilities at this time.

PHYSICAL DEMANDS: While performing the duties of this job, the employee is regularly required to sit and talk / listen. The employee is occasionally required to stand; walk; reach with hands and arms; and stoop, kneel, crouch, or crawl. The employee must occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job include ability to adjust focus.
