Job Description - Paralegal II (Fact Witness)

The Paralegal II (Fact Witness) provides critical litigation and victim services support in criminal cases involving restitution, mortgage fraud, and other large victim matters. This position is responsible for maintaining victim-related records, preparing case documentation, tracking restitution claims, supporting sentencing proceedings, coordinating victim communications, and assisting with victim notification and restitution distribution activities. The role requires strong organizational skills, attention to detail, effective communication abilities, and proficiency with Microsoft Office applications. 


 


KEY DUTIES AND RESPONSIBILITIES 



  • Prepare notices to victims who are not enrolled in the Victim Notification System (VNS) when restitution has been ordered in mortgage fraud and other large victim cases. 



  • Develop, maintain, and update logs, spreadsheets, and tracking systems for use during sentencing hearings. 



  • Track and maintain records of Victim Impact Statements. 



  • Monitor and document victim requests to speak during sentencing hearings. 



  • Track requests for prosecutors to read victim statements during court proceedings. 



  • Maintain restitution claim records, including requested amounts and supporting documentation. 



  • Organize and preserve retrievable documents that support restitution and victim data maintained in spreadsheets and case files. 



  • Transcribe handwritten victim statements to facilitate courtroom presentation and review. 



  • Distribute Victim Impact Statements and restitution claims documentation to prosecutors and U.S. Probation personnel. 



  • Assist with Victim Notification System mailings and related correspondence. 



  • Respond to a wide range of victim inquiries in a professional, timely, and sensitive manner. 



  • Support the Victim Witness Coordinator and/or Victim Witness Assistant in coordinating with the Court to verify victim information for restitution distribution. 


 


EDUCATION AND/OR EXPERIENCE 



  • Associate degree in Paralegal Studies, Criminal Justice, Legal Studies, Business Administration, or a related field preferred. 



  • Equivalent combination of education, training, and relevant experience may be considered. 



  • Previous experience in a legal, court, victim services, administrative support, or paralegal environment preferred. 



  • Experience maintaining records, tracking data, preparing reports, and handling confidential information is desirable. 


 


KNOWLEDGE, SKILLS AND ABILITIES 



  • Ability to type a minimum of 40 words per minute with accuracy. 



  • Strong command of grammar, punctuation, spelling, and written communication. 



  • Proficiency in Microsoft Word and general computer applications. 



  • Ability to create, maintain, and analyze spreadsheets, logs, and tracking systems. 



  • Excellent written and verbal communication skills. 



  • Strong organizational skills and attention to detail. 



  • Ability to manage multiple priorities and meet deadlines in a fast-paced environment. 



  • Ability to maintain confidentiality and handle sensitive victim information with professionalism and discretion. 



  • Strong customer service and interpersonal skills when interacting with victims, attorneys, court personnel, and government officials. 



  • Ability to work independently and collaboratively as part of a team supporting legal and victim services operations.
