Parish Receptionist
Reports to: Director of Operations
Term: Nonexempt, Full-Time, Hourly, 12 months
General Statement of Responsibilities
The Parish Receptionist provides skilled secretarial and related office services to the pastor and parish staff. This person also provides a welcoming experience to parishioners and visitors to the church. The Parish Receptionist is expected to use sound judgment in carrying out routine duties and responsibilities of the parish office.
Essential Functions/Major Responsibilities
· Welcome and assist parishioners and visitors, on the phone and in person, including screening and transferring calls and email correspondence, as appropriate.
· Assist the Parish staff, as needed, with tasks associated with, but not limited to, scheduling activities, facility usage, building security, tracking and ordering of supplies, and others as needed.
· Support the Faith Formation staff with gathering sacramental information, scheduling baptisms and prep classes, and preparing for meetings/classes.
· Maintain all sacramental records: create and provide sacramental certificates, as requested; keep parish record book and database up-to-date.
· Handle requests and referrals for emergency financial assistance
· Process, receipt, and deposit accounts receivables, producing a daily log for the Finance Director
· Process incoming mail and postal metering of outgoing mail
· Schedule Mass Intentions
Schedule
The scheduled hours are Monday and Thursday from 8:30am – 4:00pm and Friday from 8:30am – 12:00pm. Additional hours may be necessary and requested on evenings and weekends for special projects and events.
Education and Experience
A high school diploma or GED equivalent is required. Professional telephone skills and positive customer service experience. Ability to multi-task, prioritize tasks and be attentive to details. General proficiency to learn technologies such as the Google Suite, Microsoft Suire, databases, calendars, etc.
Physical Demands & Job Conditions
The incumbent, while performing the job duties, may sit and stand for extended periods. Must be able to lift 25 lbs.
Fidelity to Church Teaching
Since this position is a visible representative of the Catholic Church, it is necessary that the incumbent be a practicing Catholic, registered in a Catholic parish or Catholic faith community, and embraces in word and deed the Church’s teachings on faith and morals as articulated by the Church’s magisterium.
