Job Description - Parts Specialist

The range listed reflects the entire range and typical placement is entry to mid range. 

Pay Range: $24.41-$33.38 Hourly

The City of Arvada is seeking a Parts Specialist to support the efficient operation of the City’s fleet by coordinating the procurement, inventory, and distribution of parts and supplies. This role plays a key part in ensuring vehicles and equipment are properly maintained and compliant with state and federal requirements.

The Parts Specialist works closely with technicians and vendors, manages inventory and purchasing processes, processes invoices and work orders, and supports daily fleet operations through accurate tracking and coordination.

Essential Job Functions

  • Maintains inventory by distributing and replenishing parts and supplies, and evaluates stock levels to ensure adequate inventory is available for operational needs.
  • Orders and distributes special ordered parts and supplies.
  • Generates work orders to manage inventory and monthly spreadsheets for reimbursement.
  • Coordinates pickup and delivery of parts and supplies.
  • Oversees specialty tool crib use by City technicians.
  • Maintains fleet bid log spreadsheet.
  • Maintains fuel island and waste oil tank in compliance with state requirements.
  • Evaluates tire tracking spreadsheet.
  • Processes invoices for payment through City’s financial programs.
  • Creates purchase orders and releases through the city’s financial program.
  • Observes city, state, and federal purchasing requirements and processes.
  • Meets and negotiates with vendors.
  • Frequently operates a personal or City-owned motor vehicle to drive to and from work locations throughout the City.

Knowledge Skills and Abilities

  • Strong knowledge of automotive parts with a strong emphasis on purchasing.
  • Basic knowledge of accounting practices.
  • Working knowledge of municipal financial and budgeting process.
  • Ability to prioritize and organize time.
  • Ability to use standard office equipment including Google and Microsoft suite, Faster Fleet, ERP Software financial.
  • Ability to use automotive and/or equipment parts catalogs and service manuals.
  • Ability to effectively communicate information, both verbally and in writing, to support organizational objectives and interact with all levels of personnel within the city in a positive and cooperative manner.
  • Must be able to operate a motor vehicle.

  • A valid Colorado driver’s license and acceptable driving record is required.

  • High School/GED

Work Experience Related

  • Three (3) years of experience in an automotive and/or heavy equipment parts fleet environment.

Physical Demands

  • Moderate to considerable physical effort that includes working from ladders in awkward positions. Frequent use of light or medium weight objects (e.g., 25-50 lbs.) and use of medium weight tools.


Hazards

  • Minimal physical effort typically found in clerical work. Primarily sedentary, may occasionally lift and carry light objects. Walking and/or standing as needed and minimal.


Work Environment

  • Exposure to routine office noise and equipment.

The City of Arvada does not offer benefits to temporary and/or seasonal employees.  Temporary, Variable Hour and Health Plan Eligible employees will earn 1 hour of sick leave for every 30 hours worked, up to a maximum cap of 48 hours.
