Summary:


The Patient Access Manager leads a dedicated team of inbound and outbound Patient Access Specialists who connect with individuals interested in our care through various channels outreach, and physician and help guide them toward their first appointment. This role is essential in making it easy for people to begin their care journey, optimizing our scheduling processes, and ensuring every patient has a welcoming, seamless experience from their first conversation with us.


Responsibilities:



  • Inspire, coach, and develop a high-performing Patient Access team, fostering a culture of compassion, accountability, and continuous growth.

  • Monitor and drive performance toward key patient access metrics such as appointment booking rate, service level, call response times, and follow-up completion, ensuring all goals are achieved or exceeded.

  • Refine and oversee the connection-to-appointment process for potential patients from all channels, ensuring timely follow-up and a smooth scheduling experience.

  • Analyze trends to uncover opportunities for process improvements, targeted training, and enhanced patient communication strategies.

  • Partner with marketing, clinical, shared services, and operations teams to align on patient access strategies and share meaningful insights.

  • Continuously enhance training programs so team members have the skills, knowledge, and tools to connect meaningfully with patients and answer questions with confidence.

  • Work closely with the Senior Manager of Patient Access and Clinical Intake to design programs that increase patient engagement and streamline scheduling.

  • Develop and maintain processes that improve efficiency, the patient experience, and connection-to-appointment conversion rates.

  • Recruit, hire, onboard, and support the success of all Patient Access team members.

  • Ensure the team upholds HIPAA requirements, company policies, and UVVC’s Core Values: Understanding, Nurturing, Ingenuity, Trust, Excellence, and Diversity, Equity & Inclusion.

  • Safeguard Protected Health Information (PHI) in accordance with UVVC policies and applicable regulations. 



Qualifications:



  • 3–5 years of leadership experience, preferably in a patient access, call center, or healthcare setting.

  • Demonstrated success in coaching, mentoring, and guiding teams toward shared goals while fostering a culture of accountability and compassion.

  • Experience managing performance using key patient access metrics such as appointment scheduling rate, call responsiveness, follow-up completion, and related service measures.

  • Strong ability to interpret and act on data trends to enhance team effectiveness, patient connection, and process efficiency.

  • Familiarity with consultative communication approaches that build trust and guide individuals toward the care they need.

  • Experience supporting individuals from multiple referral sources, including physician partners, digital inquiries, and community outreach efforts.

  • Salesforce experience strongly preferred, but not required.

  • Proficiency with MS Office, Power BI, and other business productivity tools.

  • Highly organized with strong attention to detail and the ability to thrive in a dynamic, fast-paced environment.

  • Exceptional communication and interpersonal skills, with the ability to work collaboratively across diverse teams and functions.

  • Reliable and dependable, with consistent attendance and punctuality.
