Wilson Health is looking for a Patient Access Manager for our hospital campus located in Sidney, Ohio (North Dayton, Ohio area).

Employment Status: FULL TIME

Shift: 1st shift - 7am - 3pm

Working Hours:  40 hours per week - 80 hours per pay period 

Position Reports to: Director of Patient Access 

** Managing - 24/7 Registration Coverage

 

SUMMARY:

The Patient Access Manager is responsible for overseeing the hospital’s patient access functions, including registration, scheduling, insurance verification, prior authorizations, and related front-end revenue cycle activities. This position ensures that patients receive a welcoming, efficient, and accurate experience from the point of scheduling or registration through the beginning of their care.

 

ESSENTIAL DUTIES AND RESPONSIBILITIES:

Patient Registration and Access



  • Oversee daily hospital registration activities for inpatient, outpatient, emergency, and ancillary services.

  • Ensure patient demographic, insurance, guarantor, and financial information is collected accurately and maintained appropriately.

  • Establish and maintain registration procedures that promote accuracy, efficiency, patient privacy, and excellent customer service.

  •  Monitor registration quality and identify opportunities to reduce errors, duplicate accounts, and incomplete information.

  • Ensure staff follow hospital policies, payer requirements, and applicable regulatory standards.

  • Address patient concerns and resolve registration or access-related issues in a professional and timely manner.


Scheduling



  • Manage scheduling processes for hospital services, outpatient procedures, diagnostic testing, and other applicable services.

  • Ensure appointments are scheduled accurately and in accordance with provider, department, and resource availability.

  • Work with clinical departments to identify scheduling issues and improve access and patient flow.

  • Monitor scheduling practices to minimize missed appointments, scheduling errors, and unnecessary delays in care.

  •  Assist with developing and maintaining scheduling protocols and workflows.


Insurance Verification and Prior Authorizations



  • Oversee insurance eligibility and benefits verification processes.

  • Ensure required referrals, authorizations, and pre-certifications are obtained prior to services whenever possible.

  • Monitor authorization requirements and payer-specific guidelines.

  • Coordinate with clinical departments and providers when additional clinical documentation is needed to obtain authorization.

  • Identify and address authorization-related issues that could result in delayed care or denied claims.

  • Monitor authorization performance and work with Revenue Cycle staff to reduce preventable denials.


Leadership and Staff Management



  • Supervise, train, coach, and evaluate Patient Access staff.

  • Develop staff schedules and ensure adequate coverage based on patient volume and hospital needs.

  • Maintain a flexible work schedule to effectively lead a 24/7 Patient Access operation.

  • Establish clear expectations for productivity, accuracy, customer service, and compliance.

  • Provide ongoing education regarding registration, scheduling, insurance requirements, authorization processes, and hospital policies.

  • Cross-train staff as appropriate to ensure continuity of operations in a small hospital environment.

  • Promote teamwork, accountability, professionalism, and a positive patient experience.


Revenue Cycle and Operational Responsibilities




  • Partner with the billing, coding, finance, and clinical departments to improve front-end revenue cycle performance.

  • Monitor key Patient Access metrics, including registration accuracy, insurance verification, authorization completion, scheduling accuracy, and registration-related denials.

  • Identify trends and implement corrective actions to improve processes and financial performance.

  • Assist with denial prevention and resolution related to registration, eligibility, authorization, and other front-end issues.

  • Participate in revenue cycle and operational improvement initiatives.

  • Maintain knowledge of payer requirements and communicate relevant changes to staff and hospital leadership.



Compliance and Quality



  • Ensure compliance with HIPAA, EMTALA, Medicare/Medicaid requirements, payer regulations, and applicable federal and state requirements.

  • Protect patient confidentiality and ensure appropriate handling of patient information.

  • Maintain accurate documentation and follow established hospital policies and procedures.

  • Participate in quality improvement, compliance, and patient experience initiatives.

  • Support hospital preparedness for audits, surveys, and regulatory review


QUALIFICATIONS:


To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Must maintain schedule flexibility and be accessible to support a 24/7 operation, with routine presence across all three shifts to engage staff, monitor performance, and ensure consistent execution of departmental standards. Education and Experience:



  • High school diploma or equivalent.

  • Previous experience in hospital registration, patient access, scheduling, insurance verification, prior authorization, or revenue cycle operations.

  • Previous supervisory or leadership experience required.

  • Strong understanding of insurance eligibility, benefits, referrals, and authorization processes.

  • Excellent communication, organization, problem-solving, and customer service skills.

  • Ability to work effectively in a fast-paced environment and manage competing priorities.

  • Ability to maintain confidentiality and handle sensitive patient and financial information appropriately.

  • Proficiency with electronic health records and common office software.

  • Ability to type accurately and efficiently while maintaining attention to detail.

  • Ability to manage multiple tasks and changing priorities in a fast-paced healthcare environment.

Physical Requirements



  • Ability to sit, stand, and walk for extended periods throughout the workday.

  • Ability to move between departments as needed.

  • Ability to engage with patients both in person and over the telephone for prolonged periods.

  • Frequent use of a computer keyboard and monitor, requiring repetitive hand and finger movements and efficient typing skills.

  • Ability to occasionally lift or move up to 20 pounds.

  • Visual acuity sufficient to read computer screens, patient documentation, and printed materials.
