Job Description - Patient Access / Scheduling Representative

Sigma Systems is currently looking for a Patient Services Coordinator to work within the OP Registration Unit at UMASS in Marlborough, MA.

Position Overview

We are seeking an experienced Patient Access / Scheduling Representative to support a high-volume healthcare environment. This role is responsible for coordinating patient appointments across multiple providers and services, verifying insurance, managing patient registration data, and supporting revenue cycle processes. The ideal candidate has strong EPIC experience, excellent attention to detail, and the ability to thrive in a fast-paced, patient-facing administrative setting.

Schedule & Work Hours

  • 8-hour shifts scheduled between 6:00 AM – 8:00 PM, based on department needs
  • Schedule varies Monday through Sunday, including rotating weekends
  • Required availability for 1–2 Saturdays per month (typically 7:00 AM – 3:00 PM)
  • Holiday coverage required (potentially every other holiday)
  • Training Period (First 3–4 weeks): Must be available for rotating shifts
  • EPIC Training: Onsite in Worcester, MA for the first 2 weeks (8:00 AM – 4:30 PM)

Key Responsibilities

  • Schedule patient appointments for Lab, Radiology, and ancillary services across multiple campuses and providers
  • Coordinate multiple services to ensure efficient scheduling and patient flow
  • Enter and maintain accurate patient demographic, insurance, and scheduling data in EPIC
  • Update and correct patient records as needed
  • Obtain insurance referrals, pre-authorizations, and pre-certifications prior to visits
  • Verify insurance coverage and resolve discrepancies following payer guidelines
  • Collect patient financial responsibilities (copays, deductibles, coinsurance, balances, etc.) prior to or at time of service
  • Communicate appointment details and patient preparation instructions via phone
  • Mail patient information packets as required
  • Transcribe paper orders when applicable
  • Assess financial needs and refer patients to financial counseling when appropriate
  • Perform clerical duties including records retrieval, faxing, typing, collating, and message handling
  • Maintain accurate logs, files, and documentation
  • Obtain required patient signatures (Consent to Treat, HIPAA, Medicare Rights, Patient Rights, etc.)
  • Monitor and manage Patient Access and Revenue Cycle work queues
  • Ensure accuracy in scheduling and registration at 97% or higher

Work Environment & Additional Details

  • No parking fees at this location
  • Dress Code: Business casual or scrubs ( No crocs or open-toed shoes)
  • Interviews conducted via Microsoft Teams
  • Not a temp-to-perm role

Experience Requirements

  • 2–3 years of experience in:
    • Patient access
    • Scheduling
    • Registration or related healthcare administrative role
  • Required: Strong experience with EPIC (EMR system)
  • Experience with:
    • Insurance verification
    • Prior authorizations and referrals
    • Patient financial collections
  • Strong ability to manage patient demographics and scheduling across multiple providers/services
  • Excellent customer service, communication, and organizational skills
  • Ability to multitask in a fast-paced healthcare environment

Education Requirements

  • Required: Associate's Degree in Business, Healthcare, or related field
  • Preferred: Bachelor's Degree in Business, Healthcare, or related field
