Work Schedule: Monday-Friday, Generally 8:00 A.M. - 5:00 P.M.  


 


Summary: 


The Patient Devices Coordinator is responsible for guiding patients through the process of selecting and understanding durable medical equipment (DME) products recommended by their provider. This role includes explaining the benefits, usage, and cost of devices; coordinating insurance verification and billing; managing financial workflows related to DME; and conducting audits to ensure accurate billing and compliance. This role serves as an internal DME sales and financial liaison, ensuring that other clinical team members can remain focused on patient care. 


 


This position requires compliance with OrthoEast’s compliance standards, including its Code of Conduct, Compliance Program, and policies and procedures. Such compliance will be a required element of the Patient Devices Coordinator’s job duties and will be considered during performance evaluations. 



Essential Duties and Responsibilities:  



  • Provides training of clinical staff in proper policies and procedures as it relates to DME products and in keeping appropriate manuals and protocols up-to-date 



  • Provides training of clinical staff on the proper documentation processes to ensure accurate billing and reimbursement.  



  • Acts as a liaison for the physicians and the brace representatives.  



  • Responsible for reviewing all required paperwork to make sure that it is filled out correctly.   



  • Coordinates with Management or designee in any changes in inventory or pricing to ensure that fee schedule is maintained appropriately.  



  • Responsible to ensure appropriate approvals are obtained from insurance before the clinic orders and/or fits some orthotics.  



  • Maintain all documentation of DME usage, ensuring all DME products dispensed are billed appropriately.  



  • Monitor inventory system with other staff support to ensure inventory levels are maintained to meet demand.  



  • Ensures best pricing on new/existing products orderedEvaluates, recommends, and coordinates with Administrator on group purchasing agreements.  



  • Acts as a facilitator for new products that physicians would like to add.  



  • Responsible for communicating any issues with usage or provider feedback to the Clinic Director or designee.  



  • Assist patients in finding products, offering product information, and providing a positive experience. 



  • Process retail sales transactions accurately and efficiently using our systems. 



  • Partner will all providers to continuously improve our product offerings to ensure sales of items our patients need/want.

Education and/or Experience:  



  • High School Diploma or equivalent required; Associate’s or Bachelor’s degree in a health-related field preferred. 



  • Prior experience with insurance verification, billing, or durable medical equipment strongly preferred. 



  • Basic computer skills with knowledge of EMR systems. 



  • Strong understanding of patient confidentiality and HIPAA requirements. 



  • Demonstrated ability to handle sensitive financial and medical information with integrity and discretion.
