Job Description - Patient Communication Specialist

Job Description

Apex Dental Partners is seeking a Patient Communication Specialist to join our growing Patient Experience team at our Dallas Support Office. This role is ideal for someone who thrives on delivering exceptional service, excels on the phone, and enjoys helping patients access the care they need.

In this role, you’ll serve as the first point of contact for patients calling into our family of practices across multiple states. You’ll handle both inbound and outbound communication — answering calls, responding to text messages, and reaching out to patients for unscheduled treatment, overdue appointments, or follow-up opportunities. Every patient interaction will be an opportunity to demonstrate empathy, professionalism, and problem-solving while representing the Apex standard of care.

The ideal candidate will bring prior dental experience, strong communication skills, and the ability to adapt across multiple practice styles and systems. We’re looking for someone who not only answers phones, but builds confidence and trust with every patient.

Core Responsibilities

  1. Professionally handle a high volume of inbound patient calls across multiple dental offices
  2. Schedule, confirm, and adjust patient appointments within our practice management systems
  3. Conduct outbound calls to patients with unscheduled treatment or overdue recalls
  4. Follow up on missed opportunities — including patients who inquired but never booked
  5. Communicate with patients via text message for scheduling, reminders, and follow-up
  6. Deliver an exceptional experience that reflects Apex’s patient-first values
  7. Collaborate closely with office teams to ensure seamless patient communication

Requirements

  1. Minimum of 2 years of dental front office or call center experience
  2. Open Dental or similar software experience strongly preferred
  3. Outstanding verbal communication and listening skills
  4. High attention to detail and accuracy in scheduling and data entry
  5. Ability to multitask and manage time effectively in a fast-paced environment
  6. Positive, team-oriented attitude with a commitment to patient satisfaction
  7. Reliable, trustworthy, and punctual
  8. Must work in-person at our Dallas Support Office

Benefits

  1. PTO and paid holidays
  2. Relaxed, friendly, and fun culture filled with smart, caring teammates
  3. Opportunity to play a role in the success of a rapidly growing company
  4. Competitive pay (commensurate with experience)
  5. Comprehensive health, dental, and vision insurance
  6. 401(k) plan with up to 4% company matching

Work schedule

  • Monday to Friday

Benefits

  • Paid time off
  • Health insurance
  • Dental insurance
  • Vision insurance
  • Disability insurance
