Job Description - Patient Coordinator

Our high-energy orthodontic office is seeking a Patient Coordinator with a strong Marketing focus to be the welcoming face of our practice while driving patient engagement and growth. This role is perfect for someone who loves connecting with people, is passionate about marketing and social media, and thrives in a fast-paced, team-centered environment.

The ideal candidate will balance excellent front-desk coordination with creative marketing strategies that reflect our fun, modern, and patient-focused brand.

Primary Responsibilities:

Patient Coordination & Front Desk Duties 

  • Warmly greet and check in patients, creating a positive first and lasting impression.
     
  • Schedule consultations, follow-ups, and adjustments efficiently and accurately.
     
  • Assist with payments and billing.
     
  • Communicate clearly with patients about treatment plans and next steps.
     
  • Manage patient flow to ensure a smooth and timely experience.
     
  • Maintain accurate records in orthodontic practice software.
     

Marketing & Brand Growth 

  • Create, schedule, and manage engaging social media content (Instagram, TikTok, Facebook, etc.).
     
  • Highlight patient stories, before-and-afters, team moments, contests, and events.
     
  • Coordinate in-office marketing campaigns (e.g., giveaways, theme days, referral contests).
     
  • Monitor and respond to Google and social media reviews to build online reputation.
     
  • Track referral sources and implement outreach to local schools, dental offices, and community partners.
     
  • Design digital and print marketing materials using Canva or similar platforms.
     
  • Manage patient communications like newsletters, promotions, and appointment reminders.

Requirements

 

1–2 years experience in an orthodontic, dental, or healthcare office preferred.  

  • Strong background or interest in social media marketing and digital content creation.  
  • Excellent verbal and written communication skills with a polished, friendly demeanor.  
  • Organized, dependable, and proactive—can balance multiple tasks with ease.  
  • Proficient in Microsoft Office, Google Workspace; Canva or graphic tools a plus.  
  • Experience with orthodontic practice management software is a bonus.
