Job Description - Patient Coordinator Lead

VPFW is looking for a full time Patient Coordinator Lead to support the front desk at our St. Mary’s location. The schedule for the Lead position is full-time from approximately 8:00 AM to 5:30 PM Monday through Friday.  

Requirements

Essential Responsibilities:  

  • Responsible for accurately performing all functions of patient admission, including reviewing all information with patient, completing appropriate forms, flagging charts as appropriate and copying appropriate insurance cards and identification.
  • Collects copayments and balances and issues appropriate payment receipts. Contacts patient to collect form fees. Balances receipts daily.
  • Explain payment plans to patients as appropriate. 
  • Schedules appointments and responds to changes in the work schedule as necessary. 
  • Performs routine clerical functions including answering phones, running reports, printing schedules, faxing etc.
  • Regular and predictable attendance.

Lead Responsibilities:

  • Serve as a point of contact for providers and clinical staff when operational issues arise. 
  • Train and support new team associates that join the practice.  Provide ongoing support to existing team associates as needed.
  • Review and manage daily insurance verification of patients to ensure smooth and proactive check-in process. 
  • Monitor and communicate any office successes and/or challenges to upper management. 
  • Communicate and implement any future process/workflow updates or changes.

Knowledge Skills and Abilities:  

  • Ability to establish and maintain long-term customer relationships. 
  • Demonstrates proficiency in medical terminology, insurance and medical software.
  • Perform work within appropriate time frame, accurately and in a timely manner in periods of increased work load and high stress. 
  • Ability to solve patient problems, treat patients with dignity and respect and respond quickly to patient needs. 
  • Ability to make autonomous decisions based on best judgement of applied experiences. 
  • Proven ability to lead others in a fast-paced, high demand environment where customer focus is forefront. 

Education and Experience:  

  • At minimum 2 years prior medical office experience including hands-on scheduling and/or billing. 
  • High School diploma or equivalent.
