Location: Medical Park (Grant & Rosemont), Tucson, AZ (On-site, Internal Medicine Membership Practice)


Employment Type: Full-Time, Monday-Friday, 9:00 AM–5:30 PM

BeachFleischman is coordinating the search for a Patient Experience Coordinator for our client, Personalized Healthcare of Arizona. Personalized Healthcare of Arizona is a membership-based primary care practice dedicated to delivering highly personalized, relationship-centered healthcare. Position Summary


The Patient Experience Coordinator plays a key role in ensuring a smooth, welcoming, and efficient experience for patients while supporting the daily operations of the practice. As the first point of contact for patients, this individual serves as an ambassador for the organization, delivering exceptional customer service and maintaining a professional, patient-centered environment. The position combines front office administration, patient intake, scheduling, communication coordination, and billing support to help ensure seamless patient care.


Duties & Responsibilities



  • Patient experience and front office support:


    • Serve as the first point of contact for new and existing patients.

    • Maintain a warm, professional, and service-oriented presence.

    • Manage patient communication through phone, email, text, patient portal, fax, and in-person interactions.

    • Review and process incoming messages, referrals, records, faxes, and correspondence.

    • Escalate patient concerns or clinical matters appropriately.

    • Assist patients with patient portal access and technology-related needs.

    • Coordinate inbound and outbound calls and document interactions accurately.

    • Receive and distribute incoming and outgoing mail.


  • Patient intake and scheduling:

    • Guide new patients through the onboarding and intake process.

    • Create and maintain accurate patient records.

    • Coordinate appointment scheduling and patient follow-up.

    • Update demographics, insurance information, and required documentation.

    • Educate patients on office procedures, forms, and policies.



  • Patient access and billing support:

    • Collect patient balances and discuss financial responsibility in a professional manner.

    • Review account balances and coordinate with billing personnel as needed.

    • Support insurance, referral, and patient access processes.

    • Maintain accurate documentation within the electronic health record.

    • Support office operations and special projects as assigned.

    • Perform other duties as designated by leadership.




Required Qualifications



  • Required:

    • 5+ years of experience in a medical office or healthcare setting.

    • Strong customer service and communication skills.

    • Computer proficiency and comfort learning new technology.

    • Knowledge of medical terminology.

    • Excellent organizational skills and attention to detail.



  • Preferred:

    • Certified Medical Assistant (CMA) or Certified Medical Administrative Assistant (CMAA).

    • Experience with eClinicalWorks (eCW).

    • Experience with patient scheduling, intake, insurance verification and prior authorization, revenue cycle, and referrals.
