Job Description - Patient Referral Coordinator - North Seattle, WA

Job Type: 100% in-office at our Northgate (Seattle) headquarters; Monday thru Friday 9:00am - 5:00pm

Salary: $22.00 per hour

About Mindful Support Services 

Mindful Support Services is a company dedicated to empowering therapists, psychologists and nurse practitioners to dive into private practice, without doing all of the leg work that comes with it. We provide high-quality billing, marketing, and administrative services to independent mental health care providers. Since opening in 2011, we have added over 2,500 providers throughout our 20+ locations, and we are continuing to grow!

As a Community Referral Coordinator at Mindful Support Services, you’ll be a key driver of our mission to expand access to quality mental healthcare across multiple states. This role focuses on coordinating client referrals and scheduling services, serving as a key connector between clients, providers, and community partners to ensure smooth transitions and continuity of care. If you thrive in a fast-paced, people-centered environment and enjoy solving complex challenges with creativity and empathy, this role is for you.   

Responsibilities: 

  • Oversee client referrals for across multiple states and process a high volume of inbound and outbound scheduling requests.   
  • Efficiently manage incoming fax referrals through reviewing fax submissions, calling clients, and supporting with scheduling process. 
  • Identify, engage, and maintain relationships with potential community partners to help generate client referrals or external resource options while providing exceptional relationship management and follow-through.  
  • Strengthen relationships with partners through ongoing communication, engagement, and collaboration on continued care for shared referrals.  
  • Collaborate across multiple teams to support with community partnership events and outreach, client scheduling, and process improvement. 
  • Become an expert in all aspects of each state we operate in, including individual providers, client demand, and the local mental health market landscape.  
  • Provide excellent customer service over the phone and via email to clients, providers, and community partners by responding to all inquiries in a timely manner.  
  • Support greater needs of Client Services Department which include incoming client calls, system audits, and various workflow support. 

Who We Hire: 

  • Customer Service Experience: 2+ years of experience in a fast-paced support or referral role.
