WAGE GRADE: 7

WAGE RANGE: $19.23 - $24.04

REPORTING RELATIONSHIPS

POSITION REPORTS TO: Payment Services Manager

POSITIONS SUPERVISED: None

POSITION PURPOSE

The Payment Services Specialist is responsible for the accurate and efficient processing of payment transactions and services, ensuring compliance with relevant regulations and standards. The role focuses on providing operational support across various payment-related functions, resolving issues as they arise, and maintaining a high level of member satisfaction. This position offers growth opportunities through three career ladders, each focused on increasing responsibility and specialization within payment services. 

ESSENTIAL FUNCTIONS AND BASIC DUTIES

Operational Responsibilities

  • Assist in maintaining system records and ensuring that financial transactions are recorded accurately within the appropriate platforms.
  • Accurately process and monitor payment transactions across a variety of payment channels, ensuring timely execution.   
  • Assist with identifying and resolving discrepancies in payment processing.  
  • Receive internal and external member calls, emails, and service requests, resolving inquiries or referring them as needed. 
  • Ensure compliance with internal procedures, legal requirements, and security protocols when handling payment-related tasks.  
  • Contribute to the continuous improvement of the department by identifying potential areas for efficiency or risk mitigation.  

Research and Issue Resolution

  • Investigates and resolve payment discrepancies or issues, working closely with other departments to ensure resolution.   
  • Conduct detailed research to troubleshoot and resolve member or transaction issues promptly. 
  • Take ownership of resolving errors and discrepancies in a timely manner.

Communication

  • Assist branches and related departments in a courteous and professional manner, resolving questions and issues in accordance with the SLE timelines.   
  • Communicate effectively with team members, management, and other departments to share relevant updates, troubleshoot problems, and support process improvements.   
  • Attend and participate in meetings, trainings, and departmental discussions as required.
  • Collaborate with team members and other departments to resolve issues efficiently.  

General Responsibilities

  • Ensure work area is organized, secure, and well-maintained.
  • Complete special projects or additional duties as assigned by management.
  • Participate in training programs to stay current on charges in payment systems, regulations, and best practices.

PERFORMANCE MEASUREMENTS

  • Payment Services functions are performed efficiently, effectively, and accurately in accordance with established policies and Service Level Expectations.
  • Entries to member accounts and ledgers are accurate and completed on time.    
  • Member and ledger discrepancies are researched and resolved in a timely manner.
  • Professional relationships with members, vendors, and internal departments are maintained; assistance is provided as needed.
  • Active participation in identifying opportunities for process improvement, automation, or enhancements within payment services.  
  • Management is appropriately informed of area activities and key issues in a timely manner.
  • Adherence to internal procedures, regulatory requirements, and industry standards. 
  • Demonstrates effective communication and collaboration with team members and other departments.  

Requirements

EDUCATION/CERTIFICATION: 

  • High school graduate or equivalent.

REQUIRED KNOWLEDGE: 

  • General knowledge of Credit Union policies and procedures
  • Understanding of Credit Union philosophy.
  • General knowledge of Credit Union products and services

EXPERIENCE PREFERRED: 

  • At least one year of financial institution operation experience

SKILLS/ABILITIES:  

  • Well organized.
  • Good attention to detail and accuracy.
  • High level of reasoning.
  • Ability to multitask in a fast paced work environment.
  • Good math skills.
  • Cooperative and willing to assist others. 
  • Able to use PC, calculator, and other basic business machines.
  • Knowledge of Microsoft Office products

PHYSICAL ACTIVITIES AND REQUIREMENTS OF THIS POSITION

FINGER DEXTERITY: Using primarily just the fingers to make small movements such as typing, picking up small objects, or pinching fingers together.

TALKING: Especially where one must frequently convey detailed or important instructions or ideas accurately, loudly, or quickly.

AVERAGE HEARING: Able to hear average or normal conversations and receive ordinary information.

REPETITIVE MOTIONS: Movements frequently and regularly required using the wrists, hands, and/or fingers.

AVERAGE VISUAL ABILITIES: Average, ordinary, visual acuity necessary to prepare or inspect documents or products, or operate machinery.

PHYSICAL STRENGTH: Sedentary work; sitting most of the time. Exerts up to 50 lbs. of force occasionally. (Almost all office jobs.)

WORKING CONDITIONS

NONE: No hazardous or significantly unpleasant conditions (such as in a typical office).

MENTAL ACTIVITIES AND REQUIREMENTS OF THIS POSITION

REASONING ABILITY:  

  • Ability to apply common sense understanding to carry out detailed instructions and to deal with problems involving a few variables.  
  • Able to interpret various instructions.

MATHEMATICS ABILITY:  

  • Ability to perform basic math skills; compute discounts and percentages
  • Able to perform simple algebra.

LANGUAGE ABILITY:  

  • Ability to read and understand a variety of written publications. 
  • Ability to prepare memos, reports, letters, and emails using proper punctuation, spelling, and grammar.  
  • Ability to communicate distinctly with appropriate pauses and emphasis; correct punctuation and variation in word order; using present, perfect, past, and future tenses.
