Job Summary
The Payroll Specialist will be responsible for maintaining, preparing and processing payroll for Alpha Supported Living Services. The Payroll Specialist will report directly to the agency‘s Finance Director. He or she will process payroll on a bi-monthly basis, work with the payroll provider to file all appropriate taxes and ensure bi-monthly/quarterly/annual deposits are made in an accurate and timely manner. The Payroll Specialist will have the duty of processing the organization’s retirement benefits plans. The Payroll specialist will also interact with program participants and so must be familiar with the Residential Service Guidelines issued by the Division of Developmental Disabilities. At all times, the Payroll Specialist will seek to act in accord with the principles and values expressed in the guidelines and uphold the agency mission “ to serve individual’s with developmental disabilities by providing accessible residential and other support services that will maximize the person’s quality of life.”
Day-to-Day
Process payroll, compile applicable records and reconcile related payroll data
Compute wages and deductions
Perform data entry into payroll system and various spreadsheets
Verify attendance and hours worked and reconcile any payroll discrepancies
Substantiate, calculate and record retro requests for hours worked and pay adjustments
Maintain and update PTO records following each payroll cycle
Assist Controller with preparing payroll data batch files for upload
Assist staff with payroll-related inquiries; respond to requests for information in a timely manner
Provide information to employees and managers on payroll matters, tax issues and benefit information, as applicable
Verify documentation and enter applicable payroll changes (including but not limited to) direct deposit, manual checks, garnishments, tax changes, PTO balances, etc.
Process retirement plan contributions and tax deposit transactions as required
Submit 403b payment to plan administrator immediately following each payroll
Enter tax deposit transactions into appropriate system
Prepare and balances periodic and statistical reports and summaries; reconcile various reports against bank statements, pay summaries, benefit accounts, etc.
Keep informed about changes in tax and deduction laws that apply to the payroll process
Provide the Director of Finance with information and data necessary to complete monthly financial reports
Assist with period-end reporting for financial summaries
Participate in staff meetings and attend other meetings and seminars; complete individual training requirements annually and maintain certifications and licensures, as required
Attend mandatory training to complete:
First Aid / CPR
Blood borne pathogens
Mandated reporter
Who we are looking for
Intermediate knowledge of accounting principles and practices, banking and the processing and reporting of payroll data Able and willing to perform intermediate mathematical operations (addition, subtraction, multiplication and division) with or without a calculator.
Communicate effectively orally and in writing to meet the needs of the intended audience
Able and willing to compile, code, categorize, calculate, tabulate, audit, or verify information or data
Intermediate knowledge of software commonly used to perform the essential functions of the position (Excel, Outlook, payroll platforms, etc.)
Demonstrated ability to apply general rules to specific problems to produce answers that make sense and to combine pieces of information to form general rules or conclusions (includes finding a relationship among seemingly unrelated events)
Job Requirements
At least 18 years of age
A Bachelor’s degree in Accounting, Finance, or related field and two years’ experience performing similar duties
Familiarity with UKG or online payroll software desired
If applicable, have a Washington State Driver’s license, current vehicle insurance and able to be covered on Alpha Supported Living Services’ automobile insurance plan based upon his/her driving record
Background inquiry clearance from an authorized state agency
Starting Wage:
$28.00 per hour
Wage Scale:
$28.00 - $33.60 per hour
Benefits:
Benefits for Full-Time Employees (30 hours or more a week) include Medical, Dental, Vision, 403(b) (non-profit version of a 401(k)) with company match, Life Insurance, Tuition Savings Program, and Tuition Reimbursement. Employees working 34 or more hours a week are eligible for PTO accrual.
