Job Description - Payroll Accountant Specialist

Position: Payroll Accountant Specialist
Location: Elmhurst, IL (Onsite)
Compensation: $80,000–$95,000
Department: Human Resources
Reports to: Director of Human Resources

Position Summary:
TransChicago Truck Group is seeking a detail-driven, tech-savvy Payroll Accountant Specialist to lead and manage our full-cycle, multi-state payroll operations with accuracy and innovation. This position plays a critical role in maintaining our payroll systems, processing employee pay across multiple frequencies, ensuring compliance with internal policies and external regulations, and optimizing related workflows.
The ideal candidate thrives in a fast-paced environment, communicates confidently with employees and external partners, and has a strong command of HRIS, timekeeping systems, and Excel-based reporting.

Essential Functions & Responsibilities:
  • Lead full-cycle payroll processing for 500 hourly and salaried employees across multiple states on weekly and semi-monthly pay schedules.
  • Ensure accurate data flow between time & attendance systems and payroll, validating all records, resolving discrepancies, and ensuring proper manager approvals.
  • Maintain employee payroll data in ADP, including garnishments, deductions, new hires, adjustments, and vacation payouts for separating employees.
  • Reconcile benefits between payroll and vendor invoices including union welfare and pension monthly statements.
  • Process manual checks as needed and resolve off-cycle or retroactive pay adjustments promptly.
  • Act as primary point of contact for payroll inquiries from managers and employees, delivering timely and accurate information.
  • Oversee payroll-related reporting needs such as 401(k), workers’ compensation, union audit reports, and other HR compliance filings.
  • Collaborate with HR, accounting, and vendors to enhance system integration and process efficiency across payroll and HRIS platforms.
  • Utilize advanced Excel functions (vlookup, pivot tables, formulas) to generate routine and ad hoc reports for leadership and audits.
  • Maintain accurate and up-to-date payroll and personnel records in compliance with company policies and government regulations.
  • Serve as a system administrator for ADP Workforce Now and Workforce Manager, championing enhancements and ongoing system optimization.
  • Support annual financial audits, ensuring all audit requirements and inquiries are met in a timely and accurate manner.

Required Qualifications:
  • Associate’s degree in Business Administration, Accounting, or related field; equivalent work experience considered.
  • 3–5 years of payroll experience, including multi-state payroll and benefit reconciliation.
  • Full-cycle payroll experience including onboarding, timekeeping, processing, reporting, and offboarding.
  • Strong knowledge of ADP Workforce Now (or similar platforms) and time & attendance integrations.
  • Intermediate to advanced Excel skills (pivot tables, vlookup, conditional formulas).
  • Understanding of wage and hour laws, payroll taxes, benefit withholdings, and retirement plan regulations.
  • Strong analytical and problem-solving skills with high attention to detail.
  • Proven ability to maintain discretion with confidential information.
  • Excellent written and verbal communication skills; comfortable engaging with both internal teams and external vendors.
  • Certified Payroll Professional (CPP) certification preferred.

Compensation & Benefits:
Pay Range: $80,000–$95,000 (based on experience, skills, and education)
