Job Description - Payroll Administrator

The Payroll Administrator is for assisting in the accurate and timely processing of employee payroll. This includes gathering and verifying timesheets, ensuring compliance with company policies and legal requirements, and addressing payroll-related inquiries. The Payroll Assistant will work closely with the payroll manager to ensure all payroll transactions are correctly recorded and processed.


Essential Functions



  • Payroll Processing Support:

  • Assist in preparing and processing the organization’s payroll on a bi-weekly, monthly, or other scheduled basis.

  • Ensure that employee timecards, attendance records, and other necessary payroll information are accurate and submitted on time.

  • Verify pay rates, bonuses, deductions, and other payroll adjustments.

  • Data Entry and Record Maintenance:

  • Review employee payroll records, including personal information, tax withholdings, benefit deductions, and direct deposit information.

  • Review changes of the employee status (e.g., promotions, terminations, leave of absence) in the payroll system.


Compliance and Reporting:



  • Ensure all payroll procedures comply with applicable federal, state, and local regulations.

  • Prepare and submit required payroll reports.

  • Assist with year-end reporting (W-2s, 1099s, etc.) and audits as needed.


Payroll Inquiries and Support:



  • Respond to employee inquiries regarding payroll discrepancies, deductions, or other payroll-related matters.

  • Investigate and resolve any payroll issues or discrepancies in a timely and accurate manner.

  • Confidentiality and Accuracy:

  • Maintain confidentiality and ensure the accuracy of all payroll-related information.

  • Handle sensitive employee data, including salary and tax information, with discretion and in compliance with privacy regulations.


General Administrative Support:



  • Assist the payroll manager with various administrative tasks, such as filing, photocopying, and document management.

  • Assist with reconciling payroll accounts and preparing payroll-related financial documentation as needed.

  • Perform other duties as required.

  • Regular and reliable attendance on a full time basis [or in accordance with posted schedule].

  • Responsible for exhibiting professional behavior with both internal and external business associates that reflects positively on the company and is consistent with the company's policies and practices.

  • Embodies AEVEX’s cultural values and aligns daily actions with department goals and company culture.


Qualifications and Competencies



  • Proven experience in payroll processing or similar administrative roles.

  • Familiarity with payroll software is preferred.

  • Knowledge of labor laws and payroll regulations.

  • Strong attention to detail and high level of accuracy.

  • Excellent organizational skills and the ability to handle multiple tasks simultaneously.

  • Strong written and verbal communication skills.

  • Ability to maintain confidentiality and handle sensitive information


Security Clearance



  • Ability to obtain/maintain a Secret, DoD clearance, U.S. Citizenship required.


 


Education / Certifications



  • High school diploma or equivalent required; additional education in accounting, finance, or human resources preferred.


Experience



  • 1-3 years of payroll or related administrative experience.

  • Experience with UKG payroll is a plus

  • Proficiency in Microsoft Office Suite, particularly Excel.
