Job Description - Payroll Administrator 7+ Yrs Experience Philadelphia, PA

The law offices of Marshall Dennehey, a leading defense firm, is seeking a Payroll Administrator with 7+ years of experience for its Philadelphia, PA office.

Job Summary: We are seeking an experienced Payroll Administrator to join our dynamic team. The ideal candidate will have a proven track record of managing payroll systems and processing payroll for a large, diverse workforce. The Payroll Administrator will ensure accurate and timely payment of wages and benefits to employees while adhering to legal, regulatory, and company-specific policies.

RESPONSIBILITIES:

  • Payroll Processing: Administer and process accurate, timely payroll for all employees, ensuring compliance with all internal policies and external regulations.
  • Data Entry & Verification: Review, enter, and verify employee data such as timekeeping records, bonuses, overtime, deductions, and any other payroll-related information.
  • Tax and Compliance: Ensure compliance with local, state, and federal payroll tax regulations, including withholding, tax deposits, and tax filings.
  • Benefit Administration: Processing employee benefit contributions such as health insurance and retirement plans, ensuring correct deductions are applied.
  • Reconciliations & Reporting: Prepare payroll reports, reconcile discrepancies, and resolve issues related to wage discrepancies, tax filings, or employee deductions.
  • Record Maintenance: Maintain up-to-date payroll records, including employee payroll files, tax forms, and direct deposit information, in accordance with company policy and legal requirements.
  • Employee Inquiries: Respond to employee payroll-related queries, including but not limited to salary, deductions, benefits, and overtime, providing support and guidance as needed.
  • Year-End Processing: Support the preparation and distribution of year-end tax forms, including W-2’s and 1099’s, and assist with related reporting for audits or tax filings.
  • System Maintenance & Updates: Ensure payroll software is up-to-date and recommend improvements to payroll processes. Troubleshoot issues within payroll systems.
  • Facilitate audits by providing records and documentation to auditors.
  • Manage various paid/unpaid time off programs (PTO, Sick Leave, Catastrophic Leave, etc.) and administer accruals and adjustments.
  • Process employment verifications, employee garnishments, IRS levies, unemployment claims, and tax refund certifications.
  • Maintain strict confidence of all employee data.
  • Create regular and ad hoc reports when required with accompanying analysis.
  • Maintain payroll guidelines by recommending policies and procedure updates.
  • Cross train designated back-up to administer and process payroll and time and attendance functions.
  • Perform other related duties as assigned.
  • Regular in office attendance.

REQUIRED SKILLS:

  • Excellent verbal and written communication skills.
  • Excellent interpersonal and customer service skills.
  • Must be able to maintain confidentiality at all times.
  • Excellent organizational skills and attention to detail.
  • Excellent time management skills with a proven ability to meet deadlines.
  • Strong analytical and problem-solving skills.
  • Ability to prioritize tasks and to delegate them when appropriate.
  • Ability to function well in a high-paced and at times stressful environment.
  • Strong understanding of payroll software, payroll processes, tax regulations, and compliance.
  • Proficient with Microsoft Office Suite.
  • Ability to identify and resolve discrepancies in payroll data.
  • Certified Payroll Professional (CPP) or other relevant payroll certifications is a plus.

EDUCATION AND EXPERIENCE:

  • High school diploma or its equivalent required; Bachelor’s degree in related field preferred.
  • At least 7 years of payroll processing experience required.
  • Previous experience with ADP preferred.
