Job Title: PAYROLL & BENEFITS ADMINISTRATOR

Position Summary:
We are seeking a compassionate and dedicated Payroll & Benefits Administrator to manage all payroll and employee benefits functions for the Agency while ensuring strict compliance with federal, state, and local regulations. This role safeguards the confidentiality of sensitive employee information and supports the HR Department by ensuring accurate, timely processing of payroll, benefits, and related reporting.
Key Responsibilities:
- Payroll Administration: Oversee full-cycle bi-weekly payroll processing for all employees, ensuring accuracy in any employee changes, paycheck issuance, and compliance with all state, federal, and local regulations. Maintains confidentiality and integrity of all payroll data.
- Compliance & Year-End Reporting: Manage garnishments, child support orders, and tax levies, ensuring proper set up and deductions are made. Completes all year-end tasks such as W-2 and 1095-C verification and mailing, staying current with all tax and wage laws.
- Benefits Administration: Handles health and welfare plan enrollments and terminations, COBRA administration, and all benefits-related documentation to maintain accurate records and deductions. Coordinates with insurance carriers to resolve billing issues, discrepancies and employee concerns.
- Benefits Billing & Reporting: Processes monthly insurance invoices and reviews for accuracy and prepares management reports as needed. Ensures all benefit-related financial data is correct and reconciled.
- Open Enrollment Support: Assists in the annual open enrollment process, including collecting materials, communicating benefit changes to employees, providing support during presentations and ensuring changes are processed within required deadlines.
- Retirement Plan Administration: Confirms accuracy of voluntary deferrals, loan repayments and employer contribution eligibility for the retirement plan. Acts as point of contact during benefit audits, ensuring proper documentation and compliance.
- FMLA Management: Processes, evaluates, and prepares FMLA requests, ensuring employees receive accurate information and required documentation is completed correctly.
- Professional Conduct: Maintain a positive, professional attitude and project a caring image. Wear company-issued ID at all times on the job.
- Other Duties: Perform additional HR duties as assigned, supporting broader department needs and contributing to efficient HR operations.
