Job Description - Payroll and Benefits Manager

Position Type:

Full-time

Pay:

$90,000 - $110,000 per year, dependent on experience and education

Benefits:

Schedule:

Monday to Friday 9-5pm; occasionally work on off hours if required

Hybrid; Home and Boston Office at least 1 day per week.

Job Overview:

The ideal candidate for this position is a team player, detail oriented with a focus on compliance with applicable guidelines for payroll and benefits processing, has strong analytical skills, and an exceptional work ethic. The person working in this role will be able to manage the required timelines for payroll and benefits processing and accomplish a variety of tasks involving reconciliations of processed information, and will have excellent Microsoft Office skills, particularly using Excel.

The Payroll and Benefits Manager will report to the Controller and will work closely with the Human Resources department and interact with all levels of the organization. The person in this role will also support the overall activities of the Finance Department as needed.

Additional responsibilities include informing employees about details regarding payroll and benefits and providing them with instructions, policies and procedures and other benefit-related information.

As a Payroll and Benefits Manager, you will maintain employee records in order to prepare complete and accurate payments to employees, as well as ensure our payroll and benefits systems are in line with legal requirements and regulations. You may also be required to occasionally assist our Human Resources team in the onboarding of new hires, as well as creating employee job descriptions and performance reports and verifying candidates' information.

The candidate should have a strong understanding of appropriate policies and internal controls and be able identify areas for improvement where needed and ensure overall compliance with internal and external policies and procedures.

Job Duties:
Run bi-weekly payroll and ensure payroll information is complete and accurate and in accordance with applicable requirements.
Manage and update employee payroll records, including employee allocations for budgeting purposes.
Collect necessary data from employees, such as citizenship status, job title, SSN, and payment details.
Keep employees up to date regarding any changes in the company's payroll and benefits structure.
Ensure payroll and benefits systems and processes are in accordance with legal requirements (including tax requirements).
Collaborate with HR to assist with onboarding and terminations.
Assist with updating job descriptions and assist with the preparation of performance reports.
Ensure accurate year-end calendar reporting for payroll and benefits including all tax reporting and W-2 information.
Ensure retirement plan contributions and match requirements are processed correctly and in accordance with plan documents and IRS requirements.
Prepare reporting to be distributed to organizational leaders including headcount information, trend analysis of payroll and benefits and pay types.
Ensure payroll and benefits information reconciles to the general ledger system.
Maintain accurate and up-to-date records of payroll and benefits transactions.
Assist with month-end closing activities, including accruals and reconciliations.
Collaborate with cross-functional teams to ensure proper coding and approval of payroll and benefits. This includes follow-up to ensure timecard approval is completed prior to payroll processing.
Assist with the preparation of schedules and related materials to assist with the Organization's independent annual audit.
Assist in maintaining accounting systems and accounting control procedures.
Support the budgeting and reforecast process by compiling information for operating expenditures.
Support Controller, CFO and Human Resources on any special ad hoc projects; and
Other duties as assigned.
Position Qualifications:

Education:

Bachelor's degree in accounting or related field preferred.
Experience:

Five or more years of relevant experience
Familiarity with accounting systems and reconciliations of payroll information
Experience processing payroll within ADP
Experience in administering and monitoring retirement plans
Experience in administering a 457b plan is a plus but not required
Experience working in Microsoft Business Central is a plus but not required
Knowledge, Skills, and Abilities:

Excellent organizational skills and attention to detail;
Demonstrated ability to work independently and manage multiple priorities effectively;
Knowledge of tax implications of payroll and retirement plan transactions
Excellent verbal and written communication skills;
Ability to analyze financial data
Strong computer skills, including Excel and accounting systems;
Experience working with general ledger functions, and month / year end close process;
Desire to work in a dynamic and mission-driven environment; and
Experience working in state and local government or non-profit / public sector entities is preferred.
