Job Description - Payroll & Benefits Specialist

THE ROLE.




The purpose of this role is to own, operate, and continuously improve all US payroll and benefits processes across Gymshark’s US entities—ensuring every employee is paid accurately, on time, and fully compliant with federal, state, and local regulations.


You’ll be Gymshark’s US payroll subject matter expert, with responsibility for multi‑state payroll, tax compliance, and benefits administration, including 401(k). This role is critical to delivering a seamless employee experience while supporting a rapidly growing organisation.




WHAT YOU'LL BE DOING.


Payroll Administration







    • Deliver end‑to‑end processing of weekly, bi‑weekly, off‑cycle, and bonus payrolls across all US states

    • Act as the primary day‑to‑day contact for ADP, managing the payroll vendor relationship.

    • Coordinate payroll inputs including new hires, leavers, job changes, compensation updates, incentives, and time & attendance data.

    • Review payroll outputs, reconcile discrepancies, and maintain strong payroll controls.

    • Maintain accurate payroll records and audit trails.

    • Respond to employee payroll queries clearly, professionally, and empathetically.

    • Support the Payroll Manager with documentation and standard operating procedures.

    • Partner closely with People Operations to ensure accurate data flow between YourGS and ADP.


    Payroll Tax & Compliance



    • Partner with ADP to ensure accurate and timely federal, state, and local tax filings, deposits, amendments, and reconciliations.

    • Maintain multi‑state compliance, including onboarding new states as required.

    • Support all year‑end payroll processes, including validation of W‑2s, 941s, 940s, and related reconciliations.


    Benefits Administration



    • Administer US benefits including medical, dental, vision, life insurance, and wellbeing benefits.

    • Support administration and compliance of 401(k) plans, ensuring accurate reporting and participation management.

    • Partner with ADP and benefits brokers to manage eligibility, enrolments, deductions, and issue resolution.

    • Support and deliver benefits communications, enrolment periods, and plan changes.


    Leave & Employee Support



    • Administer US leave programs including PTO, sickness absence, FMLA, state‑specific leaves, disability, and company leave policies.

    • Partner with People Partners and managers to ensure consistent and compliant leave administration.

    • Act as a primary point of contact for employee questions related to payroll, benefits, and leave.


    Compliance & Continuous Improvement



    • Ensure ongoing compliance with internal policies and external regulatory requirements.

    • Maintain and enhance documentation across payroll, benefits, and leave processes.

    • Identify opportunities to automate manual processes and reduce error rates.

    • Contribute to wider People Operations and Reward projects as required.






WHAT YOU'LL NEED.


Essential Skills:





  • Proven hands‑on experience managing US multi‑state payroll.



  • Experience processing payroll using ADP Workforce Now.



  • Strong benefits administration experience, including 401(k).



  • Excellent knowledge of US payroll tax compliance and federal/state legislation.



  • Strong understanding of US leave regulations (FMLA, state leave laws, disability).



  • Excellent analytical, reconciliation, and problem‑solving skills.



  • Exceptional attention to detail and ability to manage confidential data with integrity.



  • Strong Microsoft Excel capability.



  • Ability to work both independently and collaboratively in a fast‑paced environment.



  • Proactive, solutions‑focused mindset with a passion for continuous improvement.




Preferred Skills:





  • Experience working within a PEO model.



  • Experience partnering with benefits brokers and external payroll vendors.



  • Exposure to payroll audits or year‑end payroll processes.



  • Bachelor’s degree in Business, Accounting, HR, or a related field.



  • Payroll certifications (CPP, FPC)
