Job Description - Payroll Consultant - UKG Pro

We are seeking a detail-oriented and customer-focused UKG Pro Payroll Processor to join our Managed Payroll Services team. This individual will be responsible for the accurate and timely processing of payroll using UKG Pro while ensuring compliance with all federal, state, and local payroll regulations.



The ideal candidate has extensive hands-on experience processing payroll within UKG Pro, understands payroll tax compliance, audits payroll data for accuracy, and provides exceptional support to employees and clients. This role requires someone who thrives in a fast-paced environment, can manage multiple payroll cycles simultaneously, and proactively identifies opportunities to improve payroll processes.



 Key Responsibilities

Payroll Processing

  • Process weekly, bi-weekly, semi-monthly, and monthly payrolls utilizing UKG Pro.

  • Review payroll data for completeness and accuracy prior to processing.

  • Audit earnings, deductions, taxes, garnishments, benefit deductions, and direct deposits.

  • Validate employee data including new hires, terminations, promotions, transfers, compensation changes, and leave transactions.

  • Ensure payrolls are processed accurately and within established deadlines.

  • Process off-cycle payrolls, manual checks, retroactive payments, bonus payrolls, commissions, and special payroll runs.

  • Reconcile payroll totals before transmission.




UKG Pro Administration

  • Maintain employee payroll records within UKG Pro.

  • Configure and maintain payroll earnings and deduction codes.

  • Support payroll system testing following updates and enhancements.

  • Troubleshoot payroll processing issues within UKG Pro.

  • Assist with system optimization and recommend process improvements.

  • Maintain security and confidentiality of payroll information.




Payroll Tax & Compliance

  • Ensure compliance with all federal, state, and local payroll tax regulations.

  • Verify tax withholding accuracy.

  • Assist with payroll tax reconciliations.

  • Review quarterly and annual payroll tax reporting.

  • Support year-end processing including:

    • W-2 preparation

    • Year-end balancing

    • Payroll reconciliations

    • Tax adjustments



  • Maintain compliance with wage and hour laws.




Benefits & Deductions

  • Process employee benefit deductions.

  • Audit benefit enrollments against payroll deductions.

  • Reconcile health, dental, vision, HSA, FSA, and retirement deductions.

  • Process 401(k) contributions and employer matches.

  • Coordinate payroll deductions with Benefits Administration.




Garnishments & Special Payments

  • Process wage garnishments.

  • Maintain child support orders.

  • Administer tax levies.

  • Process creditor garnishments.

  • Ensure compliance with federal and state garnishment regulations.




Reporting & Reconciliations

  • Perform payroll balancing prior to payroll submission.

  • Reconcile payroll registers.

  • Prepare payroll reports for Finance and HR.

  • Complete General Ledger payroll reconciliations.

  • Assist Accounting with month-end payroll accruals.

  • Research and resolve payroll discrepancies.




Employee Support

  • Respond to employee payroll inquiries.

  • Resolve paycheck discrepancies.

  • Explain payroll deductions and tax withholdings.

  • Provide excellent customer service while maintaining confidentiality.




Continuous Improvement

  • Identify opportunities to automate payroll processes.

  • Document payroll procedures and standard operating procedures (SOPs).

  • Participate in payroll audits.

  • Recommend improvements to payroll workflows.

  • Stay current on payroll legislation and UKG Pro enhancements.




Required Qualifications

  • Associate's or Bachelor's degree in Accounting, Finance, Human Resources, Business Administration, or related field (or equivalent experience).

  • 3–5+ years of payroll processing experience.

  • Minimum 2 years of hands-on UKG Pro payroll processing experience.

  • Experience processing multi-state payroll.

  • Knowledge of federal, state, and local payroll tax regulations.

  • Experience with payroll reconciliations.

  • Strong understanding of payroll deductions and benefits administration.

  • Advanced Microsoft Excel skills.

  • Strong analytical and problem-solving abilities.

  • Excellent organizational and time management skills.

  • High attention to detail.

  • Ability to maintain strict confidentiality.




Preferred Qualifications

  • Certified Payroll Professional (CPP).

  • UKG Pro certification or advanced user experience.

  • Experience processing payroll for multiple legal entities or FEINs.

  • Experience supporting payroll implementations or system upgrades.

  • Knowledge of General Ledger integrations.

  • Experience with timekeeping integrations.

  • Experience with HRIS systems.

  • Public accounting or payroll service bureau experience.
