Job Description - Payroll Manager

As we grow, we are seeking an experienced and detail-oriented Payroll Manager to oversee all aspects of payroll processing across our dental clinics and administrative offices.

Job Summary

The Payroll Manager will be responsible for managing and processing bi-weekly and monthly payroll for all employees, including clinical and non-clinical staff. This role ensures compliance with federal and state regulations, internal policies, and industry best practices. You will play a critical role in supporting employee satisfaction and operational efficiency across our growing network.

Key Responsibilities

  • Process and manage payroll for multi-location dental organization. 
  • Calculate provider payroll and maintain adequate records. 
  • Maintain accurate payroll records, including timesheets, deductions, bonuses, and benefits.
  • Ensure compliance with local, state, and federal payroll and tax laws.
  • Collaborate with HR and Finance to ensure proper integration of payroll data (new hires, terminations, compensation changes).
  • Oversee timekeeping systems and address discrepancies or errors promptly.
  • Manage employee inquiries related to payroll, ensuring timely and accurate responses.
  • Prepare and distribute payroll reports, audits, and summaries as needed.
  • Coordinate with external vendors and government agencies as required (e.g., garnishments, benefits providers).
  • Lead and support payroll-related audits and year-end reporting (W-2s, 1099s, etc.).
  • Continuously identify and implement payroll process improvements.
  • Other duties as assigned.

Requirements

  • Bachelor's degree in Accounting, Finance, HR, or related field (or equivalent experience).
  • 3+ years of payroll management experience, preferably in healthcare or multi-site environments.
  • Knowledge of federal and state wage and hour laws, tax regulations, and compliance standards.
  • Proficiency with payroll software (e.g., ADP, Paylocity, Gusto) and Microsoft Excel.
  • Experience with dental or healthcare industry payroll structures is a plus.
  • Strong analytical skills and high attention to detail.
  • Excellent organizational and communication skills.
  • Ability to handle confidential information with discretion and integrity.
