Salary: Starting at $85,000 annually, based on experience

Work Arrangement: In-Person (Plymouth, NH) with potential remote flexibility

Mount Prospect Academy is seeking an experienced Payroll Manager to oversee payroll operations for a growing nonprofit organization serving youth and families throughout New Hampshire and Vermont.

The Payroll Manager is responsible for ensuring accurate, timely, and compliant payroll processing while serving as the organization's payroll and HRIS subject matter expert. This role works closely with Human Resources, Benefits, and Finance teams to support employees, improve processes, and ensure payroll compliance.

Essential Responsibilities:

Payroll Administration


  • Manage and oversee all payroll processing activities.

  • Process payroll transactions including salaries, wages, benefits, garnishments, taxes, and deductions.

  • Maintain payroll systems to ensure accurate and timely payroll processing.

  • Process payroll updates including new hires, terminations, and compensation changes.

  • Maintain payroll records and supporting documentation.


Compliance and Financial Reporting


  • Ensure compliance with federal, state, and local payroll regulations.

  • Prepare payroll reports, labor allocations, and payroll-related financial data.

  • Complete General Ledger payroll reconciliations and quarterly 941 reconciliations.

  • Support internal and external audits by providing payroll records and documentation.

  • Maintain strong payroll controls and best practices.


Labor Management Reporting


  • Prepare labor management reports for each payroll cycle.

  • Analyze labor trends and identify payroll-related variances.

  • Provide accurate payroll reporting to organizational leadership.


Systems and Process Improvement


  • Serve as the primary resource for payroll and HRIS systems.

  • Support automation and optimization of payroll processes.

  • Recommend and implement payroll system and process improvements.

  • Collaborate with Human Resources to maximize technology and reporting capabilities.


Employee and HR Support


  • Respond promptly to payroll inquiries from employees and Human Resources staff.

  • Work closely with the Benefits Manager to ensure compliance with FMLA, leave administration, and Workers' Compensation requirements.

  • Maintain confidentiality and professionalism in all aspects of payroll administration.


Additional Duties


  • Perform other duties as assigned.


Qualifications:

Required Knowledge and Skills


  • Strong knowledge of payroll administration, payroll taxes, benefit accruals, internal controls, and accounting procedures.

  • Experience with payroll and HRIS systems; Paycor experience preferred.

  • Experience with Sage Intacct or similar accounting software preferred.

  • Intermediate Microsoft Excel skills.

  • Proficiency with Microsoft Word and Outlook.

  • Strong organizational, analytical, and problem-solving skills.

  • Excellent attention to detail and accuracy.

  • Ability to meet deadlines and manage multiple priorities.


Education and Experience:


  • Bachelor's degree in Accounting, Business Administration, Human Resources, or a related field preferred.

  • Three to five years of relevant payroll, accounting, HRIS, or related experience may be considered in lieu of a degree.


Communication Skills


  • Strong written and verbal communication skills.

  • Ability to interpret policies, procedures, and payroll regulations.

  • Professional and timely response to employee and management inquiries.


Physical Requirements:


  • Ability to sit and work at a computer for extended periods.

  • Ability to perform standard office-based tasks and operate office equipment.
