Job Summary The Payroll Senior Accountant will support the Finance & Accounting Department by processing payroll, maintaining accurate payroll records and systems, supporting payroll compliance, and preparing payroll-related reconciliations, reporting, and analytics. This role will partner with Finance & Accounting leadership and internal teams to ensure payroll activities are completed accurately, timely, and in accordance with company policies and applicable regulations. Duties/Responsibilities Duties and responsibilities will include, but are not limited to:
- Process company payroll accurately and timely, including regular payroll cycles, adjustments, special payments, deductions, and related payroll transactions.
- Prepare, review, and submit certified payroll reports, coordinating with clients and internal teams to resolve questions or documentation needs.
- Maintain accurate employee payroll records, payroll system data, earnings codes, deductions, tax information, and related documentation.
- Support compliance with federal, state, and local payroll laws and regulations, including payroll tax, wage and hour, garnishment, and certified payroll requirements.
- Assist with payroll-related policies, procedures, controls, and process improvements to improve accuracy, efficiency, consistency, and compliance.
- Prepare payroll reconciliations, journal entry support, account analysis, reporting, and analytics for review by Finance & Accounting leadership.
- Support payroll-related activities associated with mergers, acquisitions, onboarding, payroll system setup, and transition projects, including data validation, employee setup review, payroll mapping support, and issue follow-up.
- Complete annual payroll-related processes and reporting requirements, including year-end reconciliations, W-2 support, tax reporting support, and other payroll reporting activities.
- Respond to employee payroll questions, research issues, and coordinate timely resolution while maintaining confidentiality and professionalism.
- Support Corporate Card Program accounting administration, including cardholder setup and maintenance, transaction monitoring, receipt and documentation follow-up, monthly reconciliations, expense coding review, policy compliance support, and coordination with employees and leadership to resolve card-related questions or issues.
Minimum Requirements
- Bachelor’s degree in accounting, finance, business or equivalent experience preferred.
- 5-7 years of payroll administration, payroll accounting, or related accounting experience preferred.
- Ability to maintain strict confidentiality and handle sensitive employee information.
- Strong knowledge of payroll processing, certified payroll, payroll tax regulations, payroll reconciliations, and payroll systems; experience with Paycor and/or Paylocity preferred.
- Strong analytical, problem-solving, organizational, and attention-to-detail skills.
- Advanced proficiency in Microsoft Excel.
- Ability to manage priorities, meet deadlines, and communicate effectively with employees, managers, and internal business partners.
- Professional judgment and discretion in handling confidential payroll and employee information.
- Ability to build trust and credibility through accuracy, responsiveness, and consistent follow-through.
Supervisory Responsibilities This position does not have direct supervisory responsibilities.
