Job Description - Payroll Specialist

T3W Business Solutions, Inc. is a Woman-Owned Small Business with Headquarters located in San Diego, CA. It is our mission to help our clients develop strategies to optimize their use of space and resources resulting in maximum benefits; we also deliver quality data and analysis to support our client’s daily facility operations, planning, and compliance programs. We are looking for a Payroll Specialist in San Diego, California. 

SUMMARY

Handle a variety of complex accounting duties in the preparation, processing, and maintenance of payroll, salary, and benefits. Analyze and update payroll and benefit data on a monthly basis.

PRINCIPAL DUTIES/RESPONSIBILITIES

  • Employee Setup/Update/Term in: Paylocity; Unanet; Fidelity
  • Assist HR with Onboarding as needed
  • Process employee status changes
  • Process benefit changes on a monthly basis
  • Process wage garnishments
  • Reply to employee questions and resolve any issues that arise
  • Payroll/Personnel
  • Confirm timesheets are accurately submitted and approved
  • Calculate pay in leu of benefits for Service Contract Act covered employees
  • Process payroll bi-weekly
  • Collect payroll reports to maintain accurate payroll records
  • Reconcile general ledger accounts 
  • Process Off-cycle payrolls as needed for terminations, bonuses, etc.
  • Taxes
  • Comply with local, state, and federal government reporting requirements
  • Setup new State Income Tax and State Unemployment accounts as needed
  • Work with the CPA as needed for taxes  
  • Ensure all taxes are paid on time
  • Resolve any State or Federal tax notices involving withholding account issues
  • Reporting and Communications
  • Assist in internal and external audits of payroll records
  • Complete metric requirements listed in the Financial Desktop Guide 
  • Provide information to other departments or external inquiries as requested
  • Maintain current knowledge of relevant payroll procedures and practices
  • Multiple state laws and regulations
  • Alternative workweek and overtime regulations
  • Participate in special projects as required

SKILLS AND ABILITIES

  • Thorough knowledge of the practices, procedures, and processes of payroll
  • Extensive experience with data entry, record keeping and computer operation
  • Thorough knowledge of relevant federal, state labor, and local laws, regulations, and policies
  • Proficiency in Microsoft Office, Payroll and HRIS software (Unanet and Paylocity preferred)
  • Experience in services related to payroll such as writing checks and submitting payroll taxes
  • Demonstrated effective communication skills
  • Excellent attention to detail

Requirements

  • Requires 3 or more years of related experience in nationwide payroll
  • Bachelor’s Degree in Finance, Accounting or related field, or equivalent technical training, education, or work experience
  • Strong knowledge of generally accepted accounting principals
  • Experience with federal government contracting
  • Experience with Service Contract Act
