The Payroll Specialist reports to the Payroll Manager and is responsible for processing weekly and biweekly payroll and performs various human resources and clerical production related tasks. Prepares, enters, and analyzes payroll data. Typically uses automated system to produce accurate and timely payroll. Ensures compliance with all applicable state and federal wage and hour laws. Prepares weekly, monthly, quarterly and year-end reports for management to include but not limited to: gross payroll, hours worked, 401K, vacation, holiday, FMLA hours, attendance, training, etc.
Responsibilities:
Process payroll within the Paylocity operating system in a timely manner. Reviews and approves payroll records.
Responsible for maintaining and tracking eligibility of vacations, holidays, and leaves of absence.
Audits employee change requests and data from activity logs received from Human Resources representatives into the HRIS and maintain accurate records. Entries must be reviewed by Payroll Manager or designee per pay period
Compile payroll data such as hours and dollars, vacation, holiday, etc.
Prepare all monthly reports which include headcount, attendance, hours worked, seniority reports, etc.
Comply with regulations (business controls) regarding payroll and HR processes and procedures.
Archive all payroll records in accordance to Conn-Selmer, Inc. record retention policy.
Perform various administrative tasks to support Corporate Human Resources team, as needed including newsletter, service award program, birthday lists, budget monitoring, recruitment, reports, project work, file preparation, and special events, etc.
Assist with 401K audit, worker’s compensation audit, and other audits.
Maintain time and attendance records for hourly production workers. Maintain electronic attendance records; responsible for accuracy, integrity and completeness of attendance in HRIS/Paylocity. Report disciplinary issues (warnings) to HR representative and/or manager weekly.
Perform other duties as assigned.
Qualifications:
High School diploma or equivalent. College education or degree is a plus.
2-3 years of Payroll processing experience required.
2 years of human resources experience preferred.
Proficient in Excel, Outlook and Word.
Good verbal and written communication skills.
Excellent math skills with a high level of accuracy and attention to detail.
Able to maintain a high level of confidentiality.
Excellent attendance record, dependable.
Strong multi-tasking and organization skills, including ability to prioritize tasks.
Self-starter with ability to work independently and/or within a team in order to meet deadline requirements.
Requires long periods of sedentary work. OT may be required
Requires repetitive upper body movement – keyboarding and monitor use
