Job Description - Payroll Specialist

Description

The Payroll Specialist is responsible for accurately processing and managing payroll for two operating companies on a biweekly schedule. This role ensures compliance with payroll policies, audits payroll deductions, maintains employee records, and supports administrative payroll functions. The ideal candidate is detail-oriented, organized, and proficient in payroll systems.

Requirements

Key Responsibilities:

Payroll Processing & Compliance

  • Process and complete payroll for two operating companies on a biweekly basis, ensuring accuracy and compliance.
  • Review and finalize timecards submitted from operating locations before payroll processing.
  • Prepare paysheets for trucking divisions. 
  • Prepare payroll registers in Paylocity and submit all payroll reporting.
  • Ensure payroll deductions align with benefits bills through routine audits.
  • Maintain compliance with federal, state, and local payroll regulations.

Employee Records Management

  • Update and maintain employee records in Paylocity, including pay rates, benefits, tax rates, and deductions.
  • Manage and audit PTO balances, ensuring accuracy in accruals and usage.
  • Process wage changes, absence forms, PTO requests, benefits enrollments, and other payroll-related documents.
  • Maintain employee files in Docuware, ensuring proper recordkeeping and documentation.

Reporting & Auditing

  • Generate and distribute payroll reports to necessary stakeholders.
  • Conduct payroll audits to ensure accuracy and compliance with company policies.
  • Assist in resolving payroll discrepancies by investigating and correcting errors.
  • Other duties as assigned.

Qualifications:

  • 2+ years of experience in payroll processing, accounting, or a related field.
  • Strong knowledge of payroll regulations and best practices.
  • Experience with Paylocity or similar payroll software preferred.
  • Proficiency in Microsoft Office, particularly Excel.
  • High attention to detail, accuracy, and confidentiality.
  • Strong organizational and communication skills.
  • Personable with good customer service skills.

Work Environment & Schedule:

  • Full-time, based in North Powder, OR.
  • Regular business hours with occasional extended hours during payroll processing weeks.
