Summary/Objective: The HR Specialist, Payroll & HRIS is a key player in the Human Resources team. The role involves performing data entry, updates, maintenance, integration, and reporting for the company’s HRIS system, including processing payroll in compliance with all regulations pertinent to the US and Canada. At all times, strict standards for confidentiality and data integrity must be upheld. The HR Specialist serves as a direct liaison between various departments within the company. The data collection and consultation from this role with the HR team and other departments are essential.  

Essential Duties and Responsibilities:

  1. Responsible for processing bi-weekly payroll for US and Canada, including updating employee data relevant to payroll processing; integration and reconciliation with general ledger and 401(K) contributions; processing of wage garnishments; assuring compliance with laws and regulations; and informing management of items pertinent to payroll processing.
  2. Owner of all new and/or changes to employee data in the HR/Payroll database to maintain accurate and timely employee data; and create ad hoc and standardized reports summarizing pertinent employee data. 
  3. Develop, evaluate, and provide functional and technical support of the HRIS systems. Identify and troubleshoot system problems and develop solutions. Provide expertise and solutions.
  4. Collaborate and work cross-functionally with the HR Team in areas of Benefits, hiring, onboarding, training, and development to help reach the department's goals around attracting, retaining, and growing top talent.  
  5. Identify opportunities for automation, validation, and self-service to improve efficiency and data integrity of HR system processes. Collaborate, lead, and assist with data connection errors to our HRIS systems, which can include benefits and 401K vendors.
  6. Collect and complete any Verification of employment, unemployment, tax notices, or other HR notifications. Maintains, creates, updates, stores, and collects all necessary paperwork for life events, leave requests, terminations, offer letters, and onboarding documents.
  7. Assist with evaluating and analyzing existing payroll and HR data management policies, practice,s and business processes, and make proposals for continuous improvements leading to best practice HR Information System operations.

Research, analyze, and resolve technical items or questions presented by colleagues or outside stakeholders using knowledge of payroll and HRIS functionality.

  1. Monitor HR Information by conducting audits of human resources data to preserve its integrity and accuracy; review and format data for entry into system, and facilitate training and customer support for users of HRIS functionality.

Qualifications:

Education: Bachelor’s degree or equivalent work experience in subjects related to HR preferred.  

Experience: At least 2-3 years’ experience including:

Expertise in payroll and HR Information systems and processes. *Paylocity Preferred.

Highly proficient in Excel, Word, PowerPoint, MS Office Suite, Outlook, and reporting skills

Experience working with confidential data requiring great attention to detail.

Ability to multi-task and prioritize, and build collaborative relationships.

Competencies:

Highly motivated, go-getter with exceptional customer service skills

 Strong problem-solving and decision-making skills.

Ability to perform calculations including addition, subtraction, multiplication, division, ratios, and simple statistics

High attention to detail and personal effectiveness/credibility

Travel: Minimal (Less than 5%)
