Job Description - Payroll Specialist


Malcolm Drilling has been innovating and leading the deep foundation industry for over six decades. As part of our deep foundations, retention systems, and ground improvement services, we also provide a range of special applications and dewatering techniques. By implementing Design/Build, we execute projects quickly and effectively, allowing for timely collaboration with owners and contractors. Through our regional offices, we offer these services nationwide.



Job Title: Payroll Specialist


Location: Mukwonago, WI



Payroll Specialist Job Responsibilities:



  • Perform day-to-day processing of payroll transactions to ensure timely, effective, up-to-date, and accurate payroll processing.

  • Process weekly timecard entries.

  • Process travel vouchers and reimbursements.

  • Process requests for payments and check distribution.

  • Facilitate employee onboarding, including completion/processing of new hire paperwork.

  • Complete and send certified payrolls to general contractors promptly.

  • Initiate and process annual union wage increases.

  • Assist with the completion of union key man agreements.

  • Complete EEO reporting.

  • Respond to employee inquiries regarding pay, unions, and payroll policies.

  • Maintain field employees' files.

  • Perform other administrative duties as needed.


Payroll Specialist Qualifications:



  • High School Diploma or GED; Associate Degree or equivalent from a two-year college or technical school is preferred.

  • Maintain strict confidentiality when performing payroll duties.

  • Experience with HRIS programs preferred. 

  • E-Verify experience is preferred but not required.

  • Proficiency in Microsoft Office programs (Outlook, Word, Excel, Teams).

  • Experience with payroll functions and ability to handle a voluminous amount of paperwork.

  • Effective organizational and interpersonal skills.

  • 3+ years of payroll experience is required.
