POSITION SUMMARY
Integrative Emergency Services, LLC (“IES”) is seeking a Payroll Supervisor who will be responsible for the accurate, compliant, and timely processing of payroll across multiple entities and pay groups. This role provides day-to-day leadership of payroll operations, ensuring adherence to federal, state, and local regulations while maintaining strong internal controls. The payroll Supervisor partners closely with Finance, Human Resources, and business leaders to deliver reporting, resolve complex payroll issues, and drive process improvements. The role will also serve as the Assistant 401(k) Plan Administrator, supporting retirement plan compliance, reporting, and audit activities.

ESSENTIAL DUTIES AND RESPONSIBILITIES The responsibilities listed here represent the majority of the role but are not all-inclusive; other duties may be assigned
- Supervise and develop payroll staff, ensuring work is completed accurately, timely and in compliance with company policies and regulatory requirements.
- Oversee end-to-end processing of complex, multi-state payrolls (bi-weekly, semi-monthly, and monthly), including off-cycle and special payments.
- Serve as Assistant 401(k) Plan Administrator; support compliance testing, reporting, and audit documentation.
- Partner with Finance and HR to resolve payroll discrepancies, support audits, and ensure proper accounting and reporting or payroll-related items.
- Lead or support payroll-related projects, including system enhancements, process improvements, and regulatory updates.
- Develop and deliver training to payroll team members and business partners on payroll practices, systems, and compliance requirements.
- Support timekeeping and payroll approvals, escalations, and complex issue resolution
SUPERVISORY RESPONSIBILITIES
This position carries out supervisory responsibilities in accordance with guidelines, policies and procedures and applicable laws. Supervisory responsibilities include interviewing, hiring, and training employees; planning, assigning and directing work; appraising performance; rewarding and disciplining employees; addressing complaints and resolving problems.
QUALIFICATIONS
Knowledge, Skills, Abilities: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.
- Strong knowledge of multi-state payroll regulations, wage and hour laws, and payroll tax requirements
- Demonstrated ability to interpret and apply federal, state, and local payroll laws and ensure ongoing compliance
- Experience with payroll audits, reconciliations, and internal controls, with a high degree of accuracy and attention to detail
- Proficiency in payroll systems (e.g., UKG, ADP, Paychex) and advanced Microsoft Excel skills (e.g., pivot tables, lookups, data validation)
- Ability to analyze payroll data, identify discrepancies, and implement corrective actions
- Strong understanding of payroll accounting concepts, including general ledger impact and accruals
- Ability to manage competing priorities and deadlines in a high-volume, deadline-driven environment
- Demonstrated leadership skills, including the ability to coach, develop, and hold team members accountable
- Strong problem-solving and decision-making skills, with the ability to handle sensitive and confidential information with discretion
- Effective communication skills, with the ability to translate complex payroll concepts to non-technical stakeholders
- Proven ability to build cross-functional relationships with Finance, HR, and operational leaders
- Continuous improvement mindset with experience identifying and implementing process efficiencies and automation opportunities
- High level of organizational awareness and customer service orientation
Education / Experience: Include minimum education, technical training, and/or experience preferred to perform the job.
Required:
- Bachelor’s degree in Accounting, Finance, Business Administration, or related field
- An equivalent combination of education and work experience may be substituted for required education
- 3+ years of payroll processing experience, including experience processing multi-state payroll
- 1+ year of lead or supervisory experience (formal or informal)
- Advanced proficiency in Microsoft Excel
- Experience with payroll systems such as UKG, ADP, or PayChex
Preferred:
- 5+ Years of payroll processing experience
- Certified Payroll Professional (CPP) designation
- Experience in healthcare or multi-entity payroll environments
- Experience supporting payroll audits and retirement plan administration
- Familiarity with timekeeping and expense management systems

- Occasionally lift and/or move up to 20-25 pounds
- Fine hand manipulation (keyboarding)
