People & Business Operations Specialist

Position Title: People & Business Operations Specialist Reports To: VP, General Manager Location: Clearwater, FL Wage: Hourly DOE

The People & Business Operations Specialist is a cross-functional role supporting Recruiting, Training & Development, and Finance.

The position will support recruiting across multiple company locations while assisting the Clearwater HR Manager with training and employee development and supporting Finance with Accounts Payable (AP) and Accounts Receivable (AR).

Key Responsibilities:

Multi-Site Recruiting

• Support recruiting for hourly, technical, and professional positions across multiple company locations.


• Work with local HR teams and hiring managers to understand open positions and recruiting needs.


• Post positions and proactively source potential candidates.


• Conduct initial candidate screenings.


• Coordinate interviews with hiring managers.


• Maintain candidate communication throughout the recruiting process.


• Support candidate selection and transition selected candidates to the local HR team for pre-employment and onboarding.


• Support college recruiting, career fairs, and other recruiting activities.


• Help develop candidate pipelines for current and future openings.


• Maintain recruiting records and track open positions and candidate activity.

Training & Development

• Support the HR Manager with employee training and development activities.


• Maintain training records and training matrices.


• Track required training, certifications, and recurring training requirements.


• Coordinate training schedules with employees, supervisors, and trainers.


• Support employee development and career progression programs.


• Coordinate approved external training and certification programs.


• Follow up on upcoming and overdue training requirements.

Finance Support

• Process Accounts Payable transactions and assist with invoice review and coding.


• Respond to routine supplier inquiries and research payment discrepancies.


• Assist with supplier account and corporate credit card reconciliations.


• Support Accounts Receivable activities, including customer invoicing and collections follow-up.


• Research routine customer billing and payment questions.


• Assist with cash application and account reconciliations.


• Maintain accurate AP/AR records and supporting documentation.


• Assist Finance with other routine accounting activities as assigned.

Business Operations Support

• Provide administrative and operational support based on business needs.


• Assist HR, Finance, and site leadership with projects and assigned activities.


• Coordinate follow-up across departments when needed.


• Support implementation of new processes and business initiatives.


• Take on additional responsibilities as experience and capabilities develop.

Qualifications:

Associate degree in Business Administration, Human Resources, Accounting, Finance, or related field, or equivalent experience.

Experience in recruiting, training, accounting, administration, or business operations preferred.

Strong organizational and communication skills.

Professional and able to appropriately handle confidential information.

Ability to work effectively with employees and leaders across multiple departments and locations.

Willingness to learn and support multiple areas of the business.
