People Services Administrator - Full Time/Benefits on property at Salishan Coastal Lodge in Gleneden Beach, OR. $20 to $21 per hour.

Summary:The PS Admin is primarily responsible for serving as the first point of contact for team members, handling a wide range of inquiries and administrative tasks while maintaining strict confidentiality and a high level of professionalism. The PS Administrator will play a crucial role in supporting the hotel's team members, anticipating their needs, and ensuring compliance with all relevant labor laws and company policies.
The PS Admin is required to accurately record all hours of work using SCP’s timekeeping system.  Accurately recording time is required to ensure that the PS Admin is paid for all hours worked as required by the wage and hour laws.  Working “off the clock” is strictly prohibited.  If any manager or supervisor directs you to or suggests that you should perform work while not “on the clock,” you must notify the Regional Director of People Services immediately.  Similarly, the PS Admin is not permitted to perform work after hours or from home without specific direction from their supervisor.  In the event such work is authorized, all time spent working must be reported on the employee’s time record. 

The Job

  • Cultivate the SCP Culture & Core Values by leading our team members to a deeper understanding of our brand. Encourage team member buy-in and reward team member ownership of the SCP Culture.
  • Anticipate team members’ needs and respond promptly.
  • Ensure compliance with all federal, state, and local employment laws and regulations and update policies and procedures as needed.
  • Employee Relations and Support:
    • Serve as a point of contact for employees on basic HR policy questions, benefit inquiries, and payroll support.
    • Process and respond to Employment Verification requests and wage garnishments.
    • Facilitate recognition and acknowledgement programs to foster a positive work environment.
    • Escalate serious or complex employee relations issues to the PS Generalist as needed.
    • Maintain a welcoming and approachable presence for all team members.
  • Compliance and Reporting:
    • Administer Unemployment Insurance (UI) claims and processes.
    • Maintain complete knowledge of and comply with all departmental policies, service procedures, and standards.
    • Ensure compliance with all federal, state, and local employment laws and regulations.
  • Payroll & Benefits
    • Ensure all property-level payroll items are accurately compiled and ready for payroll processing.
    • Maintain accurate employee records, files, and HR documentation in compliance with regulatory requirements.
    • Support employee onboarding, offboarding, and personnel changes by processing necessary paperwork and system updates.
  • General PS Support
    • Assist with the recruitment and onboarding process, including posting job openings, scheduling interviews, and preparing new hire paperwork.
    • Support offboarding processes for departing employees.
    • Prepare and maintain various HR documents and reports.
    • Assist in coordinating HR-related events, training sessions, and meetings.

Requirements

Job Requirements

  • Must be a United States citizen or possess a valid work permit.
  • Must be able to read, write, and speak English. Fluency in other languages is beneficial.
  • Must be able to accurately follow instructions, both verbally and written.
  • Must be able to work in a fast-paced environment with urgency and empathy. 
  • Outstanding coordination and multi-tasking abilities.
  • Professional in appearance and demeanor.
  • Must have general computer skills, including Microsoft Office and Google Suite. 
  • Must have the ability to deal effectively and interact well with guests, vendors, and team members.
  • Ability to handle sensitive and confidential information with discretion and professionalism.
  • Must have the ability to resolve problems and/or conflicts in a diplomatic and tactful manner.

Supervision

  • Reports to the GM with a dotted line to the PS Generalist.
  • Education and Experience
  • 1 year People Services/Human Resources experience preferred.
  • Proficient in Microsoft Office and Google Suites required.

Salary Description

$20-$21 per hour DOE
