Permit Coordinator

M and M Heating, Cooling, Plumbing and Electrical is seeking a detail-oriented Permit Coordinator to join our team. This position plays a key administrative role in ensuring smooth coordination between city offices, inspectors, and our internal teams for HVAC and plumbing installations. The primary focus is on pulling permits, scheduling and attending inspections when needed, and supporting project documentation. This position is part-time and in-office. 

Key Responsibilities:

  Pull and Track Permits: Submit permit applications and coordinate with city and municipal offices to obtain necessary HVAC and plumbing permits.

  Communication: Serve as a liaison between city inspectors, clients, technicians, and company management to ensure all parties are informed and aligned.

  
  


• 
  

  Clerical Support: Assist with administrative tasks related to inspections and installations, such as scanning, filing, data entry, and job tracking.

  
  


• 
  

  Inspection Coordination: Schedule inspections, meet with City Inspectors on residential job sites, and ensure all required documentation is in order.

  Document Management: Maintain accurate permit records, inspection reports, and project updates using digital tools such as email, iPad, and mobile devices.

  Occasional Field Support: Deliver permits, paperwork, or small parts to job sites when needed.

  Job Site Documentation: Take detailed notes and photos of installation areas using an iPad and ServiceTitan software; ensure accurate job records.

  
  


• Compliance: Follow company procedures and safety guidelines; ensure all work aligns with municipal codes and company standards.

Qualifications:

  Strong organizational and administrative skills; high attention to detail.

  Excellent written and verbal communication skills.

  Comfortable working independently and managing multiple priorities.

  Proficient with mobile devices, iPads, email, and basic office software.

  Familiarity with HVAC/plumbing terminology or municipal permitting processes is a plus.

  Valid driver’s license required.

  Ability to lift up to 25 lbs and spend time on job sites as needed.
