Job SUmmary







Personal Assistant will provide high-level administrative, organizational, and operational support to senior management within the construction company. The role requires exceptional coordination skills, discretion, and the ability to manage complex schedules, projects, and communications across multiple construction sites, contractors, consultants, and stakeholders. The ideal candidate will be proactive, highly organized, detail-oriented, and capable of working in a fast-paced, deadline-driven construction environment.







Responsibilities;



  • Provide comprehensive administrative support to the Managing Director/CEO/Project Director.

  • Manage executive calendars, appointments, meetings, and site visits.

  • Screen, prioritize, and respond to emails, calls, and correspondence on behalf of management.

  • Draft, review, and format professional correspondence, reports, presentations, and memos.

  • Maintain confidential files, contracts, agreements, and company records.

  • Assist in coordinating construction projects, meetings, and site activities.

  • Track project timelines, deliverables, and deadlines; follow up with project managers and engineers.

  • Prepare and circulate meeting agendas, minutes, and action trackers.

  • Liaise with consultants, contractors, suppliers, and internal teams to ensure smooth communication.

  • Support tender documentation, project reports, and progress summaries

  • Organize board meetings, project review meetings, and client presentations.

  • Coordinate logistics for meetings, site visits, and inspections.

  • Act as a key point of contact between senior management and external stakeholders (clients, government authorities, consultants, suppliers).

  • Maintain professionalism and confidentiality in all communications.

  • Prepare project updates, executive summaries, and management reports.

  • Maintain organized digital and physical filing systems for contracts, drawings, permits, and approvals.

  • Assist with compliance documentation, licenses, and statutory submissions.

  • Ensure proper documentation control and version tracking for construction-related documents.

  • Assist with preparation of budgets, expense tracking, and cost reports.

  • Process invoices, payment requests, and expense claims for approval.

  • Support procurement activities including purchase orders, supplier follow-ups, and contract documentation.

  • Maintain records of supplier agreements and project costs.

  • Arrange local and international travel, accommodation, and transport for executives.

  • Coordinate logistics for project-related travel, site mobilizations, and meetings.

  • Prepare travel itineraries and expense reconciliations.

  • Ensure smooth day-to-day office operations.

  • Coordinate with HR, Finance, and Operations departments as required.

  • Manage office supplies, equipment, and administrative service providers.

  • Support onboarding of senior staff and project consultants when needed.










Requirements



  • Minimum 5–7 years’ experience as an Executive Assistant or Senior Administrative Assistant.

  • Previous experience in a construction, engineering, real estate, or infrastructure company is highly preferred.

  • Proven experience supporting senior executives or directors.

  • Strong proficiency in MS Office (Word, Excel, PowerPoint, Outlook).

  • Experience with project management tools and document control systems is an advantage.

  • Ability to read and understand basic construction documentation is a plus.
