Job Description - Personal Injury Litigation Assistant

Description

Position Summary  

As a key member of GGRM Law Firm's Personal Injury team, the Litigation Assistant plays a vital role in supporting our mission of providing peace of mind to injured clients. Reporting to the Litigation Manager, this position supports Litigation Specialists in managing case workflows while embodying GGRM's ICARE values (Integrity, Compassion, Attitude, Responsiveness, and Excellence) in all aspects of work. 

Essential Duties and Responsibilities 

The essential functions include, but are not limited to, the following: 

Case Documentation & Management 

  • Process and document litigation matters in accordance with Firm policies and procedures 
  • Maintain meticulous case files following GGRM's ICARE standards: 
  • Integrity: Ensure accurate and complete documentation 
  • Compassion: Handle sensitive client information with care 
  • Attitude: Maintain positive approach to file organization 
  • Responsiveness: Clear FileVine feed and emails daily 
  • Excellence: Follow precise document naming conventions 
  • Monitor and save e-filed/e-served documents within 24 hours 
  • Maintain organized digital and physical files 
  • Document all case activity in FileVine with attention to detail 
  • Ensure proper uploading and organization of all documents in appropriate system tabs 
  • Process and track all case-related expenses and invoices 

Client Service & Communication 

  • Handle client, adjuster, provider, and opposing counsel communications with professionalism 
  • Coordinate meetings between clients, third parties, and assigned Legal Assistant 
  • Request and obtain medical bills, records, and balance verifications 
  • Process subrogation liens with attention to detail 
  • Demonstrate compassion and responsiveness in all client interactions 
  • Prepare settlement sheets with accuracy and precision 
  • Manage reduction requests and finalizing correspondence 
  • Maintain proactive communication with all stakeholders 

Court Filing & Calendar Management 

  • E-file documents following local court rules 
  • Process hard copy filings as required 
  • Calendar court appearances and deadlines accurately 
  • Monitor calendar conflicts and resolve promptly 
  • Draft shell complaints, RFEs, and pleadings 
  • Coordinate service of process and track status 
  • Update litigation chains and deadline tabs 
  • Ensure timely filing of all required documentation 
  • Maintain accurate records of all court-related activities 

Administrative Support

  • Process invoices and expenses promptly 
  • Coordinate mediator and deposition scheduling 
  • Support Litigation Specialists with additional tasks as needed 
  • Maintain regular communication with team members 
  • Ensure all deadlines are met with excellence 
  • Assist with special projects as assigned 
  • Contribute to team efficiency and effectiveness 

Requirements

Required Qualifications (Knowledge, Skills, and Abilities) 

  • High school diploma or equivalent 
  • Excellent oral and written communication skills 
  • Excellent interpersonal, analytical, and critical thinking skills 
  • Proficient with Microsoft Office applications, including Word, Excel, PowerPoint, and Outlook 
  • Ability to operate basic office equipment such as a copy machine, fax machine, printer, scanner, computer 
  • Ability to work with databases and online technological platforms 
  • Ability to be detail-oriented, diligent, and flexible 
  • Ability to handle conflicting time demands and focus on task completion with little direction or need for supervisory follow-up 
  • Proficient command of the English language in both oral and written format 
  • Ability to work and maintain patience with diversified individuals of various backgrounds and professional competencies 
  • Committed to maintaining integrity and confidentiality on behalf of clients and the Firm

 

Preferred Qualifications (Knowledge, Skills, and Abilities) 

  • Associates Degree or Certificate program in Legal Studies 
  • Minimum of six months of personal injury claims experience 
  • Bilingual in English and Spanish 
  • Authorized Nevada Notary

Salary Description

$19.23 - $27.89 an hour, depending on experience
