BGV Gives seeks a Philanthropy Coordinator, $25.25-$29.63/hr, Full-time. This position is responsible for managing the day-to-day operations of Breckenridge Grand Vacations’ philanthropy program.  SUMMARY: The Philanthropy Coordinator serves as the primary administrative support for the Philanthropy Department and is a key point of contact for nonprofit partners. The Philanthropy Coordinator creates a positive experience for over 150 nonprofit organizations who interface with BGV each year through effective grant platform management and email communication. The Philanthropy Coordinator also promotes employee engagement with nonprofits by organizing and sharing volunteer opportunities and managing administrative aspects of over 50 annual event sponsorships. 75% of the role focuses on philanthropy, with about 10 hours per week spent on administrative support for the BGV Gives Department. 


ESSENTIAL DUTIES AND RESPONSIBILITES: Grants and Sponsorships, Donations:

  • Provide administrative support to receive, organize, and track requests for philanthropic support.
  • Act as the BGV expert for grant software to maximize impact and ROI for BGV Gives Philanthropy. 
  • Receive and respond to inquiries for donation requests from external community partners, including lodging and spa gift certificates, event sponsorships, and other miscellaneous requests. Work in conjunction with Philanthropy Manager to make funding decisions in line with BGV Gives Philanthropic funding priorities for values up to $2,500. 
  • Serve as a member of the BGV Grants Review Team, conducting site visits, attending the annual Grant Review Meeting, and making funding recommendations for assigned applications.
  • Monitor the grants email inbox. Respond to requests in a timely manner and escalate to the Philanthropy Manager when needed. 
  • Establish and maintain effective philanthropic relationships within the community to support the success of the BGV Gives Program. Represent the BGV Gives Program at various events, meetings, etc.

Events:

  • Collaborate with BGV Events Coordinator and Philanthropy Manager to successfully execute all philanthropic events including but not limited to RAM Legacy in Action, BGV Holiday Adopt-A-Family programs, blood drives, volunteer days, and bicycle donations to local elementary schools.
  • Manage event sponsorship benefits, tickets, backstage theater tickets, Eclipse Theater tickets, golf teams, and other employee participation/attendance at community events. 
  • Support and execute the equitable distribution of ticketed events for BGV employees. Create and distribute communications to the entire company regarding upcoming event opportunities as they relate to BGV Gives.
  • Promote volunteer and community event opportunities via Time.ly and OneBGV to increase engagement and awareness of programming

Departmental Support:

  • Track and order snacks and other supplies, such as printer paper and toner, for BGV Gives and Executive Offices. Track and order kitchen cleaning supplies for department kitchen, common spaces, and offices.
  • Provide meeting support, including scheduling, taking minutes, tracking and following up on action items, arranging food and beverage. 
  • As needed, proofread documents, assist with research projects, perform data entry and coordinate with internal and external company contacts.
  • Track expenses and assist department leaders with expense report submission as necessary. Research, audit and determine appropriate accounting department code for donations, expenses, invoices in line with departmental budgets. 
  • Act as department safety ambassador for Community Impact Departments; organize and schedule safety meetings and information requirements; work with the Risk and Safety Coordinator to ensure safety topics are covered and properly tracked. 
  • Assist with organizing department retreats and events, incorporating activities such as team building, out-of-office days and meals.

MARGINAL DUTIES: Functions that are not considered essential to the job:

  • Perform other duties as assigned.
  • Follow Company guidelines for environmental sustainability practices (recycling, composting and conserving resources) and participate in the Company’s sustainability initiatives.

EDUCATION / EXPERIENCE: Bachelor's degree (B.A.) from a four-year college or university, two years related experience or combination of education and experience. Relevant administrative, philanthropic, and/or event experience preferred.

 

COMPUTER EXPERIENCE: Advanced working knowledge of Microsoft Office programs (Outlook, Word, Excel, PowerPoint) with a minimum of two years’ experience with these programs. Ability to operate office equipment such as copier, fax, scanner, phone and calculator. Ability to type by touch, operate a personal computer and accurately record time worked, in the correct department, using the Company time keeping system. Ability to perform research on the internet.  

 

CERTIFICATIONS and/or LICENSES: Must be at least 21 years old with a valid driver license and an acceptable driving record.

 

REQUIREMENTS: Reliable mode of transportation required. Some evening and weekend work responsibilities are required at various times throughout the year.

 

LANGUAGE ABILITY: Ability to speak, read, write and interpret in English. Ability to read and interpret business correspondence, general business periodicals, governmental regulations, instructions, job descriptions, professional journals, reports, rules, schedules and technical and work procedures. Ability to write business correspondence, instructions, presentations, procedures, reports and schedules. Ability to speak effectively and present information in one-on-one and large group situations to employees of the organization, management and outside vendors. Ability to communicate in Spanish is preferred.  

 

MATHEMATICAL SKILLS: Ability to add, subtract, multiply and divide in all units of measure, using whole numbers, common fractions and decimals. Ability to compute rate, percent, discounts, interest, commission and percentages. Ability to draw and interpret bar graphs.

 

REASONING ABILITY: Ability to solve practical problems and apply common sense understanding to carry out instructions furnished in written, oral or diagram form. Ability to deal with problems involving several concrete variables in standardized situations. Ability to define problems, collect data, establish facts and draw valid conclusions.
