Job Description - Practice Assistant

Description

Hillis Clark Martin & Peterson P.S. (HCMP) is currently seeking a detail-oriented, proactive, and organized practice assistant to join our team and support our dynamic trademark practice. In this role, you will work closely with attorneys, clients, and vendors to provide administrative trademark support. This role would also support our client billing function and provide other office clerical assistance as needed. 

This is an excellent opportunity for someone with an interest in gaining experience working in a law firm and exposure in a hands-on and collaborative environment.  

Duties include, but are not limited to:

  

Trademark Support  

  • Prepare and file U.S. and international trademark applications, responses, renewals, and other related documents under attorney supervision
  • Maintain and update trademark docketing systems and deadlines  
  • Conduct basic trademark searches and assist with watch services and monitoring reports  
  • Correspond with clients, vendors, and PTO offices regarding trademark matters  
  • Assist with preparation of status reports and client updates  

Billing & Other Clerical Assistance

  • Generate and process client invoices using billing software  
  • Track billable time, expenses, and matter budgets as needed  
  • Liaise with accounting to resolve billing inquiries and adjustments  
  • Assist with client conflict checks and engagement letters
  • Assist with client matter closing  
  • Maintain organized electronic filing systems and matter records 

Perform other administrative duties and special projects as assigned. 


Requirements

Desired qualifications:

  • College degree preferred
  • Prior law firm/professional services experience helpful
  • Must have strong attention to detail, communication, organization, and prioritization skills 
  • Ability to work independently, take initiative, and demonstrate a proactive approach to problem-solving
  • Strong computer skills, including MS Office (Word, Excel and PowerPoint) and .pdf applications
  • Willingness to learn and grow in the role

Compensation, Hybrid Work & Other Benefits

The estimated salary range for this role is $50,000-$65,000, depending on experience and qualifications, with bonus-earning potential and is based on the desired experience range at the time of this posting. This position is eligible for hybrid work. We strongly encourage a minimum of one day per week worked in our office, preferably Tuesdays. Business needs may necessitate different or additional in-office days beyond our policy. Our hybrid work policies are subject to change depending on firm and practice needs.
