Practice Assistant
Schedule: Monday - Friday, 8:00am-4:30pm
Responsibilities:
- Schedules pre-transplant and post-transplant visits. Schedules all necessary consults, diagnostic tests, transplant visits and procedures according to guidelines.
- Participates in referral management process as cross coverage.
- Obtains insurance approval. Due to the varying and constantly changing requirements of each insurer and “Center of Excellence” networks, must maintain competency in this area.
- Gathers and organizes all clinical information related to transplant patients.
- Participates in and schedules transplant team meetings.
- Maintains clinic and procedure schedules.
- Communicates with patients and referring physicians to facilitate the above, and to answer questions related to the administrative processes.
- Scans data into Epic to facilitate all of the above tasks.
- Provides administrative support to lung transplant nurses including, but not limited to, fax triage, placement of telephone calls to patients, laboratories and referring providers. Documents telephone encounters and enters staff messages in Epic as appropriate.
- Trains in other administrative tasks. Members of the Administrative Coordinator team (pre- and post- transplant) will provide assistance/cross-coverage for all programmatic administrative tasks as needed. Maybe asked to provide coverage for other organ programs as needed.
Administrative:
- Epic (2-3+yrs)
- Schedule/management of meeting request
- Zoom/attendance meetings (weekly/monthly/bi-monthly)
- Compliance meetings
- Ordering of office supplies
- Acts as a liaison between Chief and scheduling staff (point person for transfers of care)
- In patient census report
- General office maintenance
Patient care:
- Scanning
- Managing electronic fax
- Scheduling of patient appointments as needed
- Requesting outside records
- In basket management (Epic)
Qualifications:
- Bachelor’s degree preferred in the health sciences, business, or public health.
- A minimum of three (3) years of experience in a healthcare environment is strongly preferred.
- Application-level software skills to include Windows, Microsoft Office, hospital utilized systems (electronic medical record and registration systems).
