We are partnering with our client to hire a proactive Practice Operations & Billing Manager who will own front-desk operations, guide the administrative team, and keep a growing pediatric therapy practice running smoothly.
This role is both hands-on and leadership-oriented: you’ll direct front-office workflows, oversee the afternoon front-desk team, coordinate scheduling and intake, and manage weekly billing functions (about 10 hours/week) in a private workspace away from reception. Your leadership ensures therapists stay focused on patient care — while families experience a warm, organized, and efficient clinic.

What You’ll Lead & Own
Front Desk Leadership
Provide daily direction for front-desk operations and support the afternoon shift as the on-site lead
Ensure phones, check-ins, messages, and follow-ups are handled consistently and professionally
Keep intake paperwork moving — no bottlenecks
Actively monitor openings and help fill schedules (we have a waitlist)
Mentor, coach, and model a calm, welcoming, professional front-office culture
Scheduling & Coordination
Coordinate appointments, cancellations, and reschedules with accuracy
Partner closely with therapists to ensure families understand next steps
Track and improve key metrics (attendance, cancellations, utilization, collections)
Billing Administration (≈10 hrs/week)
Process claims, verify insurance, and post payments
Follow up proactively on denials and outstanding balances
Maintain billing documentation and confidentiality
Work independently in a dedicated space away from the front desk
Leadership & Systems Improvement
Anticipate needs and suggest improvements before issues arise
Help roll out new processes and tools
Serve as a liaison between clinical and administrative teams
Support operational planning as the practice expands

Schedule
Typical hours are 7:30 AM – 4:00 PM (with some flexibility at the end of the day).
Reliability to open the clinic each morning is essential.
This role may occasionally support basic entryway upkeep (like shoveling or salting the stoop during heavier snow). A snow-removal service handles primary clearing.
